Job Description

The Junior Fleet Dispatch Officer plays a critical role in ensuring the smooth operation of our vehicle fleet. They are responsible for coordinating efficient and timely dispatches, ensuring shipments are delivered according to schedule and meeting customer requirements. This position requires strong communication skills, prioritization abilities, and a deep understanding of logistics operations.

Duties and Responsibilities:

1.      Dispatch Coordination:

  •  Coordinate the dispatch of company vehicles to ensure timely delivery of shipments.

  • Communicate with drivers, providing clear instructions and updates on delivery schedules.

  • Address any issues or delays in delivery promptly and implement solutions to maintain customer satisfaction.

2.      Route Optimization:

  • Collaborate with the logistics team to optimize delivery routes and schedules for maximum efficiency.

  • Monitor traffic conditions, road closures, and other factors to adjust routes as needed.

3.      Record Keeping:

  • Maintain accurate records of dispatch activities, including driver assignments, delivery times, and any incidents.

  • Use technology (such as computer systems or dispatch software) to track and document relevant information.

4.      Compliance and Safety:

  • Ensure compliance with transportation regulations, safety protocols, and company policies.

  • Monitor driver adherence to safety guidelines during dispatch operations.

5.      Customer Interaction:

  • Respond promptly to customer inquiries regarding shipment status, delivery times, and any issues.

  • Provide updates and address concerns professionally and courteously.

6.      Process Improvement:

  • Continuously identify opportunities for process improvements within the dispatch function.

  • Propose and implement changes to enhance efficiency and effectiveness.

7.       Task Management:

  • Execute tasks assigned by direct leaders promptly and efficiently.

  • Assign tasks that are suitable, timely, and regular, addressing the service gaps noted among staff and management, both verbally and in writing.

  • Consolidate shipments for LTL and FTL trucks.

  • Brief drivers and truck owners.

  • Monitor shipment status and address pending requests.

  • Oversee loading and unloading of shipments and related documents.

  • Generate daily, weekly, and monthly shipment reports.

  • Prepare payment request documents for LTL and FTL trucks.

  • Organize and prepare documents for payables and receivables

Job Requirements:

  • Education: Bachelor's Degree in Logistics and Supply Chain Management or in a related field of study

  • Experience: 1 year of working experience
