Job Description

We are seeking a friendly and professional Office Receptionist to join our team. The ideal candidate will be the first point of contact for our company, ensuring a positive experience for all visitors and callers. This role requires excellent communication skills, a welcoming demeanor, and the ability to handle various administrative tasks efficiently.

Duties and Responsibilities:

  • Greet and welcome visitors, clients, and employees in a courteous and friendly manner.

  • Answer, screen, and route incoming phone calls; take messages as necessary.

  • Manage the reception area, ensuring it is tidy and organized.

  • Handle incoming and outgoing mail and packages.

  • Schedule appointments and maintain calendars for staff as needed.

  • Assist with administrative duties such as data entry, filing, and document management.

  • Coordinate meetings, including booking conference rooms and arranging necessary equipment.

  • Provide information about the organization and respond to inquiries.

  • Maintain inventory of office supplies and order supplies as necessary.

  • Support other departments with administrative tasks as required.

Job Requirements:

  • Education: Bachelor's Degree or Diploma in Business Management, Secretarial & Office Management, Tourism and Hotel Management or in a related field of study

  • Additional certification in office management or related fields is a plus.

  • Experience: 3 years of Proven experience as a receptionist, front office representative, or similar role.

  • Excellent verbal and written communication skills.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.

  • Strong organizational skills and attention to detail.

  • Ability to handle sensitive information with confidentiality.

  • Professional appearance and demeanor.

  • Ability to multitask and work in a fast-paced environment
