Job Description
The Sourcing and Logistics Manager is responsible for enhancing Minaye’s productivity and profitability by implementing local and international procurement processes that ensure cost-efficient and timely acquisition of quality materials, components, and equipment required for the production of goods.
Proactively coordinate with business unit leaders and prepare consolidated annual material requirement plan.
Design system, process and working documents to maximize efficiency and effectiveness with the team.
Organize annual material plan for purchase approval, scheduling and supplier selection.
Convert the approved annual plan and schedule in to monetary requirement or budget.
Breakdown the approved purchase plan and budget in to 90 days’ execution plan for efficient implementation.
Work with respective finance departments to get fund allocated in time.
Assist on technical matters arising from new order placement.
Monitor the execution of the annual plan & table issues requiring urgent decision in terms of annual plan execution.
Design appropriate departmental policies and procedures and implement accordingly.
Serve as the primary contact for sourcing and logistics related policy and procedure interpretation and alignment by all departments.
Negotiate with bank for forex queue space with the Operation Director, shareholder representative and CEO support.
Proactively scout for changing laws and trends in the sector and propose change measures.
Review existing contracts and understand business requirements; formulate guidelines and design standard vendor contract protocols.
Attend various types of trade fairs and business meetings.
Asses supply market to identify potential sources of suppliers for each of the items purchased.
Oversee departmental records are up-to-date and complete.
Assist senior logistics officer on communications with suppliers, banks, insurances, shipping companies and other stakeholders.
Review and sign non-financial communication letters prepared in the department.
Attend urgent supplier requests through all communication platforms.
Prepare periodic business performance improvement action plan and implement accordingly.
Approve additional tax appeal letters and tax requests.
Review and approve payment request forms (Duty Calculation, Freight, Container Deposits, Storage, Insurance, Clearing and Forwarding Payments).
Work with the business unit leaders to ensure forecasted needs are timely and accurate.
Keep truck of cost and efficiency.
Oversee the IT systems that track shipments, inventory and the supply of goods.
Manage purchase credit facilities initiate new once as well as follow up on their renewal on a timely manner.
Check and approve 2nd schedule and voucher reports renewal reports.
Approve purchase requisitions and administer contracts to ensure compliance with terms and agreements.
Liaise with different stakeholders in matters related to import of goods, payment modalities, tax issues and shipment.
Monitor claims to suppliers and vendors for defectives, shortage and missing parts and ensure prompt remedial actions are taken.
Prepare weekly and monthly sourcing and logistics reports and submit to the Operations Director.
Manage the performance of employees working within the department.
Perform other activities assigned by immediate supervisor.
MA/BA degree in Procurement and Supplies Management, Supply Chain and Logistics Management, Management, Business Administration or related field.
MA – minimum 5 years of relevant work experience of which 2 years should be at supervisory position.
BA – minimum 7 years of relevant wok experience of which 3 years should be at supervisory position.
Proven experience in managing supply chain operations.
Experience using supply chain management software and tools.
In-depth knowledge of preparing and reviewing contracts, invoicing and negotiation terms.
Proficient in Microsoft Office (Word, Excel, Outlook, and Access).
Management and leadership skills.
Multi-tasking and time-management skills with the ability to prioritize tasks.
Highly organized and detail-oriented.
Excellent analytical and problem-solving skills.
