Office and Administrative Assistance

Job Summary: 

We are looking for an Organized and proactive Office & Admin Assistant to join our company. This ideal candidate will be responsible for handling daily office administrative tasks, managing office supplies and purchases of different items and ensuring smooth day-to-day operations of the workplace. 

This role requires excellent communication skill, attention to detail, and the ability to multitask in a fast-paced corporate environment. 

Key Responsibilities:

  • Purchase, manage and monitor office supplies, Stationery & Entertainment supplies for office.

  • Obtain quotations, negotiate prices, and prepare payment request as per company policy.

  • Maintain accurate records of purchases & invoices.

  • Support daily office operations, including filing, document management, and administrative support to different departments.

  • Assist in handling courier services & Office Maintenance coordination.

  • Ensure the office environment remains well-organized, clean, and professional. 

  • Organize files, records, and confidential documents systematically. 

  • Support day-to-day office operations and ensure smooth information flow. 

  • Assist in Scheduling SECRETARIAL ISSUE like writing letters, meetings and minutes.

  • Assist with HR, General service, Transport Fleet, Drivers, Janitors, Guards, and related tasks such as maintaining employee records and potentially supporting the Onboarding process for new hires. 

  • Check Monthly Telephone, Water & Electric bills.

  • Strong organizational, multitasking, and time-management skills.

  • Meticulous attention to detail is crucial for managing critical project documentation and financial records.

  • Excellent computer skills, particularly with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Strong email writing and professional communication skills

  • Strong written and verbal communication abilities.

  • A proactive, helpful, and supportive attitude, with the ability to adapt to changing project needs and priorities.

  • Ability to work under pressure and handle multiple tasks

  • Professional, proactive, and detail-oriented

  • BA degree in Degree in Secretarial Science, Office Administration, Management, Business Administration, or related fields.

Job Requirements

Education:

  • BA degree in Degree in Secretarial Science, Office Administration, Management, Business Administration, or related fields.

Experience:

  • 3-5 years of experience in similar position

Skills & Competencies.

  • Strong organizational, multitasking, and time-management skills.

  • Meticulous attention to detail is crucial for managing critical project documentation and financial records.
