Job Description

The Division Head for Outbound Warehouse is responsible for overseeing all finished product warehousing, and dispatch activities for East African Lion Brands. The role involves overseeing team performance, expediting the receiving and issue of finished products, ensuring efficient, organized storage, maximize loading volume for sales, ensuring on time invoicing & dispatching documentation, reporting variances with proper justifications.

Main Duties and Responsibilities:

 Warehouse & Dispatching Operation

  • Ensure +95% OTIFNE KPI (On Time In Full With No Error)

  • Manage Outbound warehouse in compliance with the company’s policies and vision.

  • Oversee finished products receiving, issuing, and warehousing operations as per company policies and procedures.

  • Ensure an optimal finished product inventory level.

  • Setup layout and ensure efficient space utilization for all outbound warehouses.

  • Ensures the role out of finished products using FIFO principle.

  • Coordinates, and enforces optimal operational policies and procedures.

  • Ensures adherence  to all warehousing, and handling legislation requirements;

  • maintains standards of health and safety, hygiene, and security in the work environment.

  • Manages stock control and ensures reconciliation with data storage system and properly justify every variance by conducting appropriate investigations.

  • Coordinate the disposal of obsolete or expired finished products involving all the required stakeholders.

Data Management and Reporting 

  • Produces weekly, monthly and quarterly reports for the outbound warehouse division to the Warehouse and Dispatch manager and Supply Chain Director.

  • Oversees the recording, filing, and management of data related to the outbound warehouse operation.

Team and Resource Management

  • Plan work, assign tasks appropriately, and appraise results;

  • Recruit, select, orient, coach, and motivate employees;

  • Identifies training needs and submits proposal to the Warehouse and Dispatch Manager;

  • Develops and executes succession planning for the Outbound warehouse.

  • Ensures that all employees within the Division have the proper job description for their positions.

  • Prepares annual budget for the subdivision.

  • Oversees the use of vehicles, equipment, and machinery used within the subdivision.

  • Oversee the planned maintenance of storage area, machinery, and equipment within the subdivision.

Communication

  • Is responsible for managing communications relating to all Outbound warehouse activities.

  • Is responsible for communicating performance reports for the subdivision to the Warehouse and Dispatch Manager and the Supply Chain Director.

  • Is responsible for any reconciliation and physical count communications with Finance Department.

The Outbound Warehouse Division Manager will do other tasks as assigned by the Warehouse & Dispatch Manager & Supply Chain Director.

Skills required

  • Strong leadership skills;

  • Solid knowledge of Inventory and Warehousing practices.

  • Experience in managing warehouse operations;

  • Strong communication, interpersonal, and presentation skills; 

  • Strong coordination skill

  • Understanding of business functions such as finance, manufacturing, and sales;

  • Problem-solving capacity, trustworthiness, and commitment; 

  1. KPI’s

  • 100 % adherence to inventory and warehousing policies and procedures;

  • 100 % alignment of actual inventory with bin cards and system record at any time;

  • 100% GRNs and SIVs issued for finished products immediately during receiving and issue, and all posting to ERP system done at the same time. 

  • Ensure an optimal finished product inventory level.

  • Warehouse neatness, stacking, and layout.

  • Continuous process, and performance improvement of the division.

  • 100 % accurate performance reports produced and sent on time.

  • KPIs set for all employees within the division and quarterly performance assessments completed.

  1. Decision Making

  • Any sound decision relating to the day-to-day dispatch and warehousing operation.

  • Any employee management-related decisions within the division in consultation with the Warehouse and Distribution Manager.

Job Requirements

  1. Qualification and Experience: 

  • MA/MBA Degree in Supply Chain Management, Business Administration, or related fields

  • 8 of demonstrated experience of which 3 years in a similar managerial position in the company. Or related fields with six years (6) of demonstrated experience out of which one  (1) year is  in a similar managerial position in FMCG industries.

  1. Communication & Work relations

  • Internal: Cross functional communication relating to the subdivision with production, finance & sales. 

  • External: Communication with customers, agents & distributors.
