Job Description

The Procurement officer is responsible for overseeing and managing procurement activities, ensuring timely collection of Performa invoices, evaluating procurement proposals, facilitating purchases, monitoring tenders, and preparing reports. This role plays a crucial part in optimizing procurement processes while ensuring compliance with organizational policies and regulations.

Duties and Responsibilities:

  • Collect Performa invoices for necessary procurements to ensure timely submission and approval.

  • Ensure compliance with procurement policies and procedures in the collection and analysis of perform invoices.

  • Coordinate with the procurement committee to open, analyze, and submit collected performs for decision-making.

  • Ensure that approved procurement items are purchased within the specified timeframe.

  • Work closely with the finance team to ensure the timely release of purchase funds.

  • Follow up on the procurement process to ensure that purchases are made in accordance with the approved procurement plan.

  • Support in the bids Evaluations/ analysis for all purchases

  • Maintain up to date records for all procured goods and services supporting documentation: purchase requisitions, quotations, bid evaluations, purchase orders, due diligence checks/reference checks, Tender summary and related documents

  • Monitor and execute tender processes, ensuring compliance with legal and regulatory requirements.

  • Prepare bidding documents, facilitate bid openings, and evaluate proposals in coordination with relevant stakeholders.

  • Liaise with suppliers and vendors to ensure competitive and fair bidding.

  • Prepare procurement reports detailing procurement activities, supplier evaluations, and budget utilization.

  • Maintain accurate and up-to-date procurement records for audit and reference purposes.

  • Provide periodic updates to management regarding procurement status and challenges.

Job Requirement:

Qualifications & Experience:

  • Bachelor's degree in Procurement, Supply Chain Management, Business Administration or a Pharmacy, Laboratory Technology related field.

  • Minimum of 3-4 years of experience in procurement, purchasing, or supply chain management.

  • At least 1–2 years in a procurement position role, preferably in laboratory, hospital or healthcare setting

  • Strong understanding of procurement policies, tendering processes, and contract management.

  • Knowledge of financial and legal aspects related to procurement.

  • Proficiency in Microsoft Office applications. Skills & Competencies:

  • Strong negotiation and vendor management skills.

  • Excellent organizational and time-management abilities.

  • Ability to analyze procurement data and make informed decisions.

  • Strong attention to detail and accuracy in documentation.

  • Good communication and interpersonal skills to liaise with suppliers and internal teams.

  • Ability to work under pressure and meet deadlines.
