Job Description

The Logistics Assistant is responsible for efficiently planning and organizing monthly activities, ensuring timely execution, and promoting a positive work environment. He/she is responsible for assisting in all aspects of logistics and supply chain operations to support the efficient and effective delivery of programs and project supplies. Reporting to the Logistics Officer, he/she requires organizational skills, attention to detail, and the ability to work collaboratively with internal and external stakeholders to ensure timely delivery of goods and services.

Duties and Responsibilities

  • Develop yearly, quarterly and monthly activity plans and upload them on time.

  • Prepare monthly activity report in the last week of every month before salary is effected.

    1. Planning

  • Plan to assist the logistics officer in the development of a marketing assessment plan for logistic services at head and field offices.

  • Plan to assist the logistics officer in the development and maintenance of logistics service including store and warehouse management, procurement and schedules.

  • Plan to assist the logistics officer in the development of contingency plans for emergency response situations, including natural disasters, conflict, or other disruptions to logistics operations.

 

  1.  Implementation 

  • Ensure compliance with organizational logistics SOPs and checklists.

  • Ensure that all logistic service purchases are done according to the procurement cycle.

  • Manage and check whether the shipment is qualified according to the specification order and quantity.

  • Prepare Good Receiving Note (GRN) for all the received items.

  • Maintain accurate inventory records, track stock levels, and monitor consumption rates to prevent stockouts and minimize excess inventory.

  • Conduct regular inventory inspections and reconciliations, identifying discrepancies and implementing corrective actions as necessary.

  • Manage the stock items to make them organized, easy to access, and efficient in space utilization based on their size, weight, and frequency of use.

  • Manage labeling for shelves, bin cards, and containers, and implement inventory control measures, such as stock rotation, to minimize loss, theft, and damage to inventory.

  • Manage warehouse operations, including receipt, storage, and dispatch of goods, ensuring compliance with safety, security, and quality standards.

  • Coordinate transportation of goods and materials to project sites, ensuring timely delivery and cost-effective routing.

  • Maintain accurate records of fixed assets, equipment, and vehicles, including acquisition, depreciation, maintenance, and disposal.

  • Conduct regular inspections and preventive maintenance activities to ensure the functionality and safety of assets, coordinating repairs and servicing as needed.

    1. Capacity Building

  • Actively engage in capacity-building initiatives.

  • Pursue pre-requisite certifications mandated by the organization to support ongoing professional development and organizational transformation.

  1. Other Responsibilities 

Carry out other activities given by the Logistics Officer.

Job Requirements

  • A Bachelor's degree in Public Relations, Business Administration, logistics and Supply chain management or a related field.

  • Experience: Proven experience in facilitating communication and coordination between organizations and stakeholders, particularly within the NGO sector, for more than 2 years.

  • Requirements: Excellent communication and interpersonal skills, with the ability to maintain relationships with government bodies, donors, and partners while ensuring compliance with regulatory requirements.

  • Have driving Licences 

  • Employment Type: Contract.
