The Program Coordinator is responsible for efficiently planning and organizing his/her monthly activities, ensuring timely execution, and promoting a positive work environment. He/she oversees the planning, coordination, and execution of development and emergency response programs, ensuring alignment with PAPDA’s strategic goals and donor requirements. Key responsibilities include program design, proposal development, implementation, M&E, resource management, stakeholder engagement, and compliance. The role also requires to diligently work on the integration of the program workflows into the ERP system. Collaborating with internal teams, government stakeholders, and donors, the coordinator drives high-impact program delivery through strong project management, leadership, and analytical skills.

Duties and Responsibilities

  2. Personal Planning

  • Develop yearly, quarterly and monthly activity plans and upload them on time.

  • Prepare monthly activity report in the last week of every month before salary is effected.

 Program/Project Initiation

  • The coordinator registers on platforms, tracks calls for interest, and shares opportunities with the program team for collective decisions.

  • The coordinator develops concept notes and project/program proposals, adhering to PAPDA's PCM guidelines as deemed fit.

  • Assist the Finance Division in allocating project resources while collaborating with other departments to identify resource needs and address challenges.

  • Support planning, coordination, and preparation of annual and quarterly work plans and budgets for Programs and projects.

  • Lead the setup of ERP-based project tracking, ensuring that work plans, reports, and key project documents are efficiently managed.

    Program/Project Implementation

  • Develop monthly, quarterly, and yearly activity action plans and cash flows while reviewing project plans, schedules, and timelines as needed.

  • Oversee and supervise the implementation of project activities, determining priorities and ensuring the application of technical standards across all implementations.

  • Facilitate the setup of feedback and complaints mechanisms while integrating beneficiary input for project improvement.

  • Act as a liaison between project teams, stakeholders, and leadership while providing technical back dropping to a multidisciplinary team.

  • Lead the implementation of ERP for real-time tracking of project activities, budgets, and reports.

     Coordination and Communication:

  • Develop and disseminate program information materials to stakeholders and beneficiaries.

  • Coordinate and follow up program/project activities according to the action plan.

  • Promote a collaborative team culture, organizing team meetings, workshops, and training sessions. 

  • Provide technical backstopping, guide staff in action plan development and reporting, facilitate communication with stakeholders, and liaise with the Operations Division for training and educational events.

    Documentation, Learning and Reporting

  • Maintain comprehensive project documentation, including signed project documents, plans, and status reports in hard and soft copies. 

  • Prepare customized project profiles covering all project lifecycles and prepare progress reports according to donor and government stakeholder requirements.

  • Assist in designing participatory evaluations, identifying case study subjects, facilitating documentation of project results and best practices, and disseminating learnings through reports, publications, and learning sessions.

  • Develop and store customized project profiles covering the entire project lifecycle into the ERP.

  • Use ERP for structured documentation, ensuring accessibility and version control.

 Risk Management:

  • Monitor and identify potential risks and issues.

  • Assist in the development and implementation of risk mitigation strategies.

    Quality Assurance

  • Lead the periodic review and validation of project outputs to ensure adherence to quality standards and project deliverable specifications.

  • Check and ensure the quality of project goods and services in collaboration with other team members. 

    1. Capacity Building

  • Identify capacity gaps, provide technical support, including PCM training to staff and partners, and organize refresher training for additional support.

  • Actively engage in capacity-building initiatives, both personally and for the program section, to enhance expertise and effectiveness.

  • Proactively identify opportunities to enhance efficiency, effectiveness, and accuracy, proposing and implementing process improvements as appropriate.

  • Pursue pre-requisite certifications mandated by the organization to support ongoing professional development and organizational transformation.

    1. Other Responsibilities:

  • Lead the development and emergency task forces within PAPDA.

  • Represent PAPDA in various thematic coordination clusters including health, nutrition.

  • Develop a minimum of one need-based concept Note/proposal every two months.

  • Update any update needed on donor reporting platforms for changes.

  • Any other business assigned by the program manager.

Job Requirements

  • MA and MSC degree in, Developmental Studies, Public Health, Natural Science and related field of study.

  • Experience: Proven experience in multiple programs and project coordination within the NGO sector for more than 6 years.

  • Requirements: Excellent coordination and communication skills, liaising between external stakeholders, and strong internal teamwork.

  • Employment Type: Contract.
