The Creative Event Designer is responsible for conceptualizing, designing, and developing visually appealing and innovative event experiences. This role transforms client objectives and brand identities into compelling event concepts, layouts, décor themes, and visual designs. The role ensures all creative elements—look, feel, space styling, branding directions, and guest experience touchpoints—are designed to Fairteam/Prana standards and are executable within budget and venue constraints.
Duties and Responsibilities:
A) Concept Development & Creative Direction
Develop creative concepts for corporate events, including theme, ambiance, guest journey, and spatial storytelling.
Translate client/event objectives into mood boards, color palettes, styling direction, and event narrative.
Ensure concepts align with Fairteam’s brand values, quality standards, and client identity.
Present concepts internally and to clients (as required) with clear rationale and options.
B) Design Translation into Practical Layouts
Produce event layouts and zoning plans covering stage areas, seating, registration, hospitality zones, branding points, and guest-flow design.
Develop detailed visualizations and mockups (2D/3D as appropriate) to guide approvals and production.
Ensure layouts consider venue constraints, safety rules, accessibility, sightlines, and crowd-flow logic.
Coordinate with Event Manager/Planner to confirm program-driven design needs.
C) Project Department Interface (Trade Fair / Side Event Support)
Convert Project Department disclosures into design direction and specifications that can be integrated into the overall corporate event concept.
Provide creative design support for opening ceremonies, conferences/forums, onsite branding/scenic elements, gala/cocktail spaces, and experiential activations where assigned.
D) Design Specifications for BoQ / Order List Assumptions
Provide precise design specs and quantity drivers to support planning and costing, including décor/styling components and material finishes, branding placements and dimensions, furniture and layout quantities, scenic or thematic build elements relevant to corporate events
Work with the Event Planner to ensure the creative scope is translated into draft BoQ assumptions and internal Order List inputs.
Validate that creative quantities are realistic, cohesive, and margin-safe before EM approval and Ops BoQ lock.
E) Cross-Stream Technical & Operations Alignment
Align creative solutions with the Technical Lead on lighting mood plans, AV positioning, power needs, screen/visual integration, and stage/rigging constraints.
Align with Operations on feasibility, installation sequencing, material handling needs, and safety considerations.
Adjust designs based on feasibility/budget feedback without compromising core creative intent.
F) Vendor/Production Creative Coordination
Support Event Manager in briefing creative vendors (décor, carpentry, branding, floral, scenic suppliers).
Provide production-ready design files/specs to vendors and internal teams.
Review vendor samples/mock-ups for design compliance and recommend approvals/changes to EM.
Support creative rehearsal or mock setup reviews when required.
G) Quality Control & On-Site Creative Supervision
Participate in key walkthroughs and final readiness checks for design compliance.
Supervise critical creative installations on site (stage look/finish, branding alignment, décor styling, thematic elements).
Identify deviations early and coordinate correction with Ops/Project/Vendors through EM/Planner.
H) Documentation & Creative Asset Management
Maintain organized creative folders for concepts, layouts, renders, print specs, and approved design versions.
Ensure version control for all design outputs and distribute only approved files to teams/vendors.
Contribute to post-event lessons learned, focusing on creative execution quality and improvement opportunities.
Job Requirements
Qualifications & Experience
Bachelor’s degree in architecture, Interior Design, Graphic Design, Industrial Design, Fine Arts, Event Design, or related field.
5+ years of experience in event/experiential/spatial design, exhibition branding, or related creative production.
Strong portfolio demonstrating corporate event themes, stage/scenic styling, branding systems, or experiential activations.

Strong concept-to-execution design capability (visual + spatial).
Excellent layout planning and guest-flow design awareness.
Ability to produce production-ready specs that support accurate BoQs.
Strong collaboration across creative, technical, project, and operations streams.

Ability to handle tight deadlines and multiple event cycles.
Proficiency in design tools such as Adobe Creative Suite, SketchUp/3Ds Max/Blender, AutoCAD/Revit (or equivalents), and presentation tools.
