Job Title: - Import & Admin Freight Officer

Department: - Procurement 

Reports To: - Procurement and Sourcing Manager

The Import & Admin Freight Officer reports to the Procurement and Sourcing Manager and is responsible for the timely and cost-effective import of goods for QuaLabels Manufacturing PLC, ensuring quality, compliance with company policies, and international laws. The role requires strong coordination with suppliers, logistics providers, and internal departments.

Duties and Responsibilities

  • Prepare and submit all import-related documents (proforma invoices, bank applications, licenses, packing lists, commercial invoices, safety certificates, etc.) and ensure timely payments.

  • Coordinate with ocean, air, and booking agents to ensure efficient and on-time shipment.

  • Plan logistics capacity and monitor shipment schedules.

  • Verify import documents and cross-check with LC.

  • Handle customs clearance documentation and coordinate with clearing and forwarding agents.

  • Manage courier services (DHL, FedEx, etc.) for import and export.

  • Ensure all import and purchasing activities comply with laws and company procedures.

  • Obtain competitive quotations, review tenders, and support contract awards.

  • Monitor Transport, logistics and Transit companies’ performance.

  • Coordinate with internal departments and suppliers to resolve procurement issues.

  • Perform other related duties as assigned.

  • Diploma or Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, International Trade, or a related field.

  • Professional certifications in freight forwarding, customs clearance, or logistics operations (e.g., FIATA Diploma, IATA Cargo, or equivalent) are an advantage.

  • Training in import/export regulations, customs documentation, Incoterms, and international shipping procedures is preferred.

  • Proficiency in administrative systems and documentation processes related to freight and import operations.

  • Strong communication and interpersonal skills

  • Strong knowledge of import procedures, customs regulations, and international trade documentation

  • Familiarity with freight forwarding operations (air, sea, and land)

  • Understanding of Incoterms, HS codes, duties, taxes, and customs clearance processes

  • Excellent administrative and documentation management skills

  • Ability to coordinate with shipping lines, freight forwarders, customs brokers, and internal teams

  • Strong organizational and time-management skills with the ability to handle multiple shipments simultaneously

  • Attention to detail to ensure accuracy in shipping documents and compliance requirements

  • Proficiency in MS Office (Excel, Word, Outlook) and freight or ERP systems

  • Effective communication skills, both written and verbal

  • Problem-solving skills to address shipment delays, discrepancies, and documentation issues

  • Ability to work independently as well as part of a team

  • Basic financial awareness for invoice checking, freight cost verification, and expense tracking

  • Compliance-focused mind-set with the ability to follow company policies and regulatory requirements

  • 2–4 years of experience in import operations, freight forwarding, or logistics administration.

  • Hands-on experience in coordinating import shipments via air, sea, and land freight.

  • Proven experience in preparing, reviewing, and managing import documentation such as Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin, and Delivery Orders.
