Job Description

We are seeking a highly skilled, dynamic, and resilient Receptionist to join our physiotherapy clinic. The ideal candidate will possess a minimum of 2 years of experience in a demanding front desk or administrative role within a healthcare or professional services environment. This role requires a strong communicator with exceptional organizational skills, the ability to handle high-pressure situations, and a proven track record of delivering outstanding customer service.

Job Title: Receptionist (Kino Physiotherapy Clinic) 

Location: Sarbet  

Department: Customer Service  

 Duties and Responsibilities:

  • Act as the first point of contact for patients and visitors, representing the clinic with confidence, professionalism, and warmth 

  • Manage high-volume phone inquiries efficiently, demonstrating excellent communication skills 

  • Oversee complex appointment scheduling, cancellations, and rescheduling with accuracy and timeliness 

  • Maintain meticulous patient records, ensuring data accuracy and confidentiality at all times 

  • Handle challenging situations with tact and professionalism, providing solutions and reassurance to patients 

  • Coordinate seamlessly with physiotherapists and staff to optimize patient flow and service delivery 

  • Supervise administrative staff and support the training of new team members when necessary 

  • Prepare detailed daily, weekly, and monthly reports promptly and accurately 

  • Ensure the reception area remains professional, organized, and welcoming at all times 

  • Respond empathetically and promptly to patient concerns, demonstrating genuine care and understanding 

  • Support clinic operations with administrative tasks including billing, documentation, and system management 

  • Uphold strict confidentiality and ensure compliance with healthcare privacy standards 

  • Take initiative to improve reception processes and enhance patient experience

Job Requirement:

Qualifications and Skills:

  • Education: Bachelor's Degree or Diploma in Management, Administration, Customer Service or in a related field of study(preferred)

  • Experience: 2 years’ experience in a reception or administrative role, preferably within healthcare or a high-pressure environment 

  • Proven ability to manage multiple priorities effectively in a fast-paced setting 

  • Exceptional communication and interpersonal skills in both English and Amharic 

  • Demonstrated ability to remain calm, professional, and positive under pressure 

  • Strong problem-solving skills and emotional intelligence 

  • Advanced proficiency in MS Office and healthcare management systems, with mandatory computer literacy 

  • Leadership qualities with the ability to supervise and train staff 

  • Resilient, proactive, and compassionate attitude with a strong commitment to service excellence
