Job Description

Position: Factory Operations Manager

Reports to: General manager 

Supervises: production and maintenance coordinator, Asset Management Officer and Security Guards 

Duty Station: Dejen

Overall purpose of the role: 

To plan, direct, and coordinate the day-to-day operational activities of the factory according to the strategic goals set by the GM. S/He is responsible for the efficiency of Factory operations, including production, maintenance, factory human resources, raw materials and Finished goods management. Implementing all systems to boost Operational Excellence and good working culture. 

Duties and Responsibilities:

Operational Management:

  • Translate the factory strategic vision into actionable operational plans and budgets for all businesses and departments.

  • Establish standard workflows and ensure each staff understands their critical roles and responsibilities and ensure a functional and efficient operations system.

  • Oversee the entire operations of the Kokos Gypsum factory, ensuring efficiency and quality.

  • He organizes manufacturing inputs including firewood, PP bag, Gypsum and Lime stones, etc.

  • He coordinates with the GM and the procurement officer to ensure that the necessary spare parts, transport vehicles and other inputs to the manufacturing are planned in advance and availed and documented well in time.

  • Ensures the documentation and reporting of all goods received and or distributed by effectively establishing a functional stock management system.

  • Carry out regular inventory of goods, raw materials and factory assets as per the operations standard. 

  • He ensures the safety and security of the factory and its premises and immediately reports unforeseen incidences to the GM and the CEO.

  • Implement and maintain a robust Monitoring & Evaluation (M&E) system to track performance against goals.

  • Ensure the preparation of policies, strategies, and operational guidelines that enable the effective leadership and management of the company, and to confirm their implementation upon approval.

  • Lead preparation, approval, and implementation of the Factory's overall short-term, medium-term, and long-term plans.

  • Performs additional tasks assigned by the immediate supervisor.

Human Resources & Administration:

  • Oversee HR functions including payroll, performance evaluations, and compliance with labour laws.

  • Evolved Establishment staff recognition and motivation systems and make sure staff are motivated and team spirit is maintained positive.

  • Ensure a clean, safe, and compliant working environment.

  • Provide strategic direction, guidelines and tools for efficient admin and logistics operations in the Factory.

  • Provide clear goals/targets, guidance and help develop simple workflows for the Kokos factory.

  • Oversee and provide solutions day to day admin and logistics related operations challenges in the factory.

  • Provide training to staff on quality assurance, safety precautions and overall company productivity and positive work culture creation.

  • Ensure that staff attendance and contracts (both short term, long term and temporary) are signed and documented in consultation with the HR coordinator. 

  • Ensures that the staff benefits paid in time based on their agreed performance goals and measured scope of work as per the JD and KPIs.

  • Escalate sensitive issues to the GM and CEO and other staff members to ensure swift action that leads to workable solutions.

  • The performance of employees is completed in a timely manner, and those with skill problems are identified and trained and notified to the relevant person to improve.

Team work & Decision Making:

  • Lead, coach, and hold the team accountable for their results.

  • Make informed, timely decisions on operational issues, escalating critical strategic matters to the GM and CEO.

  • Resolve conflicts and improve communication between departments.

  • Provide clear and feasible milestones to staff and make them accountable and take corrective actions according to the organizational staff management policy when necessary.

  • Carry out cost benefit analysis of each product and the process of each operation unit. 

  • Take disciplinary actions on nonperforming and mis-behaving staff in consultation with the GM.

External Relations and representation

  • Build the Kokos factory image and community trust by carrying out innovative activities and external relation initiatives in consultation with the senior management and the CEO.

  • Support the marketing specialist in the implementation of the marketing strategy 

  • Represent the factory on government or community related meetings and provide short summary reports to the GM.

  • Behave well and showcase integrity, honesty and acceptable character to demonstrate professionalism and establish trust in the community and among staff members and vendors.

Key Performance Indicators (KPIs):

  • On-time and on-budget delivery of production targets.

  • Improvement in operational efficiency and reduction in waste.

  • Adherence to approved operational budgets.

  • Successful implementation of new Factory operational systems like KIZEN,

  • Apply TQM procedures to enhance productivity and maximize profit

  • Improve employee productivity, satisfaction and retention rates.

  • Full execution of the KOKOS Factory transformation plan

  • Ensure functionality of the factory to its full capacity in consultation with the CEO and the GM

Job Requirements

  • Bachelor's degree in Business Management, Chemical or Mechanical Engineering, or a related field. Master's degree is a plus.

  • Proven experience (10+ years) in a senior operational management role, preferably in manufacturing.

  • Strong knowledge of factory Operational functions including Employee productivity, Operational effectiveness and Efficiency, Reduction on machine down time, and increasing Capacity utilization rate.

  • Excellent manufacturing industry leadership and problem-solving skills.
