Job Description

Beza Posterity Development Organization (BPDO) is a local NGO operating in Amhara, Afar, Addis Ababa, Somali, Dire Dawa, Harari, Oromia, Benishagul Gumz, Gambella and Tigray regions with program thematic areas of health, nutrition, migration, shelter service for migrants, livelihood, green job creation, youth empowerment, child protection, climate change, peacebuilding, social accountability, and emergency response. 

BPDO wants to recruit interested applicants who fulfill the minimum requirements for employment.

The Executive Assistant provides high-level administrative support to senior leadership, ensuring smooth daily operations, effective communication, and strategic coordination. This role requires discretion, professionalism, and organizational excellence to manage sensitive information and complex schedules while serving as a trusted liaison between executives, staff, and external stakeholders.

Administrational  

  • Provide technical support to the Executive Director & his team

  • Oversee the monthly payment of utilities for the Executive Office

  • Responsible for the Management of the Executive Office Gust, manage schedules

  •  Communicate with department Heads on behalf of the Executive Offices

  • Oversee, supervise, and provide support for office attendants,

  • Manage the Executive calendar and facilitate air ticket booking, Hotel reservations for ED as per request.

  • Accomplish additional duties from the line Manager

  • Prepare, edit, and proofread correspondence, reports, and presentations.

  • Organize meetings, draft agendas, and record minutes

Communication & Liaison

  • Serve as the primary point of contact for internal and external stakeholders.

  • Draft professional correspondence and ensure timely responses.

  • Maintain confidentiality and handle sensitive information with discretion.

  • Operational Coordination

  • Support project management and track deliverables.

  • Assist in event planning, logistics, and stakeholder engagement.

  • Monitor deadlines and ensure compliance with organizational policies.

Documentation & Reporting

  • Maintain accurate records, files, and databases.

  • Prepare reports, summaries, and briefing materials for leadership.

  • Ensure alignment of communications with organizational standards

Job Requirements

Persons Specification

  • Bachelor’s degree in business administration, Management, or related field with

  • at least 4 years of proven experience as an Executive Assistant or in a similar administrative role

  • with Strong organizational and time-management skills.

  • Excellent written and verbal communication abilities.

  • Proficiency in Microsoft Office Suite and digital collaboration tools.

  • Ability to work independently, prioritize tasks, and meet deadlines.

  • High level of integrity, discretion, and professionalism

  • NGO experience is an advantage.

  • Ability to speak the local English language.

  • Strategic thinking and problem-solving.

  • Attention to detail and accuracy.

  • Interpersonal diplomacy and relationship management.

  • Adaptability in fast-paced environments.

  • Commitment to organizational mission and values
