Job Description

JSI is a US-based public health nonprofit organization dedicated to providing high-quality technical and managerial assistance programs throughout the world. In Ethiopia, JSI has been working to improve health outcomes for more than 30 years, implementing more than 60 projects and working in every regional state of Ethiopia. JSI has historically managed a large portfolio of projects focusing on the quality and equity in access of reproductive, maternal, newborn, child, and adolescent health services, primary health care, including community health programs, digital health, health information systems, supply chain management, public health emergency responses, and social and behavior change. 

The Human Resources Intern will play a critical role in supporting the HR department's records modernization project by accurately and confidentially converting physical personnel files into a secure digital format. This hands-on position offers valuable experience in data integrity, compliance, and essential HR administration.

Duties and Responsibilities:

Records Scanning & Digitization (Primary Focus)

  • File Preparation: Prepare physical employee personnel files for scanning, including organizing documents, removing staples, and ensuring proper sequencing.

  • High-Volume Scanning: Operate and maintain high-speed scanning equipment to accurately convert paper records into digital files (e.g., PDF format).

  • Quality Control: Review all scanned documents for clarity, completeness, and legibility, re-scanning as necessary to meet established quality standards.

  • Indexing and Naming: Rename and index digital files according to a strict, standardized naming convention to ensure easy retrieval and compliance.

2. Data Integrity & Confidentiality

  • Secure Filing: Upload and accurately file all digitized documents into the secure electronic document management system.

  • Data Entry: Perform data entry to update employee records and HR databases (with key information extracted from the physical files.

  • Confidentiality: Maintain absolute confidentiality and discretion when handling sensitive employee personal, medical, and financial information, adhering strictly to the company's privacy policies.

3. Administrative & Project Support

  • Filing & Archiving: Assist with the secure storage and physical archiving of original paper files after the scanning process is complete, following the company's document retention schedule.

  • General Support: Provide administrative support for various HR tasks, including photocopying, and other routine task.

  • Ad-hoc Projects: Assist the HR team with other projects as assigned, gaining exposure to recruitment, onboarding, or training administration.

Job Requirements

  • BA degree in Human Resources, LLB, Business Administration, IT or a related field with a cumulative GPA of 3.6 and above

  •  Must have the willingness to work cooperatively with staff from diverse cultures

  • Strong organizational and time management skills.

  • Excellent interpersonal and communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Attention to detail and accuracy.

  • Ability to handle confidential information with discretion.

  • Willingness to travel and work in the activity implementation regions

  • willingness to learn of various donor requirements and grant reporting

  • Excellent networking and partnership-building skills

  •  Speaking of more than one local language is a plus.
