The Technical Lead is responsible for all technical planning, BoQ development, deployment, and safe operation of event and trade fair technical systems. This includes power distribution, lighting, audio, video/LED, rigging, staging, technical integration, cabling, internet/ICT setups, and show-control support.
The Technical Lead receives delivery scope from Event Managers and Project Department requirement disclosures, converts them into a Technical BoQ, validates feasibility with Operations and venue rules, and submits final technical quantities/specs to Operations for consolidation into the Master BoQ.
On site, the Technical Lead leads technical crews/vendors through build, show days, and dismantle, ensuring systems are tested, compliant, and ready for go-live per SOP readiness gates
Key Responsibilities
A) Technical Planning & System Design
Translate event/project briefs into technical system plans covering audio, lighting, video/LED, power, rigging, staging integration, and ICT needs.
Produce technical layouts (power maps, lighting plots, speaker/AV placement, cable routing, control positions).
Ensure designs align with program flow, guest experience, creative concept, and venue constraints.
Define the show-control approach, including cues, operator roles, and redundancy requirements.
B) Technical BoQ Preparation & Submission (Fairteam Workflow)
Prepare detailed Technical BoQ for each event/project, including:
equipment lists with quantities/specs
power loads and distribution requirements
rigging points and structural needs
cabling, accessories, consumables, and backup units
technical labor/crew requirements
Validate BoQ assumptions with Event Manager (scope) and Operations Manager (feasibility/logistics).
Submit final Technical BoQ to Operations Manager within SOP deadlines for Master BoQ consolidation.
Support post-event technical BoQ variance review and improve future standards/rate cards.
C) Cross-Department Integration
Receive and interpret Project Department Requirement Disclosures for technical elements within fairs (openings, conferences, onsite branding/LED, special activations).
Align with Creative Event Designer to ensure technical outputs support the approved look/feel.
Work with the Event Planner to confirm readiness milestones and cue requirements.
Coordinate with Operations on build sequencing, access, HSE controls, and internal dispatch needs.
D) Vendor & Procurement Support
Support the Event Manager in preparing technical inputs for bids/quotations and feasibility checks.
Develop technical vendor briefs and RFQs for external AV, lighting, power, staging, rigging, and ICT services.
Evaluate technical quotations and recommend options to the Event Manager for appointment approval.
Supervise external technical vendors for compliance, quality, and SOP timelines.
E) Site Build, Testing & Go-Live Readiness
Lead technical setup on site: installation, cabling, patching, rigging, focusing, and system calibration.
Ensure all technical works follow SOP stage gates and venue engineering rules.
Conduct technical rehearsals, line checks, sound checks, lighting programming, and show-cue run-throughs.
Confirm technical readiness sign-off to the Event Manager before go-live.
F) Show-Day Operation & Troubleshooting
Lead technical show operations, including cueing, live switching, audio mixing, lighting operation, and screen control.
Maintain stable power and system performance during show days.
Resolve issues quickly to protect program flow and client experience.
Keep incident logs and implement immediate recovery actions.
G) Safety, Compliance & Asset Protection
Own technical safety on site: power hygiene, rigging safety, cable management, earthing, load limits, and fire prevention.
Enforce PPE and safe-work practices for technical crews.
Ensure compliance with venue permitting, inspection rules, and electrical standards.
Protect Fairteam technical assets from damage, loss, or misuse.
H) Team Leadership & Capability Building
Supervise Technical Designers and electricians; assign tasks and monitor performance.
Coordinate technical crew schedules and shift plans per Master BoQ.
Coach team members on SOP discipline, troubleshooting, and quality standards.
Recommend equipment upgrades, training needs, and vendor improvements to the Head of Events.
I) Documentation & Reporting
Maintain technical documentation: layouts, load calculations, BoQs, cue sheets, test reports, and incident logs.
Provide technical readiness updates to Event Manager/Planner and Operations Manager.
Deliver post-event technical reports including performance, issues, BoQ variance, and improvement actions.
