Joining our team of experts as an Administrative Officer and Space Manager, you will be responsible for providing administrative, organizational, bookkeeping, and financial support to ACE Advisors. We are looking for an organized yet highly efficient with excellent problem-solving skills and attention to detail.

Key Responsibilities:

  • Coordinate all aspects of office administration and oversee the smooth operation of ACE Advisors’ office and ACE CoLab (Coworking space) to ensure the office remains a welcoming and professional setting

  • Closely coordinate with all team members any required operational requirements (travel bookings, workshops organizations, hotel, conference facilities, transportation, etc) to effectively execute projects

  • Manage petty cash and payments including standing payments such as utility, rent, tax, etc.

  • Maintain accurate records of expenses, and purchases with proper documentation

  • Support HR functions and ensure the office policies are enforced and handle employee’s queries regarding office management issues

  • Liaise and engage with stakeholders including vendors, and governmental offices for any licenses and permit-related issues to ensure compliance 

  • Serve as the focal person to handle any maintenance, facility management, and run office errands

ACE Co-Lab Support 

  • Overseeing space maintenance and utilization including functionality of infrastructures such as tables, chairs, conference room facility, internet, etc to ensure the office remains a welcoming and professional setting

  • Identification and attraction of potential space users and clients 

  • Supporting in design & coordination of events at the space incld client invitation, logistics arrangement, etc 

  • Issuing client invoice and ensuring proper documentation 

  • Provision of monthly reporting on users and sales for Finance and Senior Management

Job Requirements

Requirements: 

  • 2-5 years of experience as an Office manager, administrative and operations assistant or finance assistant in a fast-paced environment

  • A minimum of a BA Degree in Business Administration, Accounting, finance, or any other fields

  • Excellent communication and customer handling with great interpersonal skills 

  • Proficiency in Microsoft office packages (Excel, Word, PowerPoint, etc. ) & experience in Peachtree is a plus

  • Excellent organization and time management skills with the ability to multi-task

  • Ability to work under pressure independently as well as part of a team
