Job Summary: The Executive Secretary & Personal Assistant to the CEO provides high-level administrative support to the Chief Executive Officer by managing schedules, organizing meetings, handling confidential information, and ensuring seamless coordination of executive functions. This role requires exceptional organizational, communication, and multitasking abilities, with a strong focus on discretion, professionalism, and proactive support.

Duties & Responsibilities:

  • Manage the CEO’s calendar by scheduling and coordinating internal and external meetings, appointments, and conferences.

  • Plan and arrange travel schedules, logistics, visas, and accommodations for both domestic and international travel.

  • Prepare and edit correspondence, presentations, reports, and other confidential documents on behalf of the CEO.

  • Receive, incoming calls, emails, and correspondence to the appropriate parties.

  • Draft routine correspondence and manage timely responses to administrative and operational inquiries.

  • Ensure prompt and professional execution of emails, letters and other correspondences.

  • Record meeting minutes, follow up on action items, and provide briefings and updates to the CEO.

  • Represent the CEO at internal and external meetings when required.

  • Prepare, maintain, and organize confidential and strategic documents, records, and databases (both electronic and hard copies).

  • Maintain up-to-date records across departments to ensure easy retrieval and secure handling of sensitive information.

  • Assist with internal reporting on key business metrics including, HR-related data, and organizational procedures.

  • Ensure policies and procedures are consistently followed and support compliance with organizational standards.

  • Collaborate with various departments to facilitate communication, workflow, and implementation of executive decisions.

  • Build professional relationships to support the image and interests of the executive office.

  • Provide general administrative assistance to the CEO including task follow-ups, project tracking, and event planning.

  • Perform other duties and special assignments as directed by the CEO or immediate supervisor.

Job Requirements

Academic qualification

· Bachelor’s degree in Office Management, or related fields.

Skills & Abilities

· Excellent organizational and time management skills

· Strong communication and interpersonal abilities

· Detail-oriented with a focus on accuracy

· Ability to multitask and prioritize effectively

· Proficiency in office software and technology

. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Years of experience:

· 3+ years of experience, and with 2+ years in same role.
