Job Description

We are seeking an Order fulfilment Coordinator to oversee an efficient and reliable parts administration and distribution network. The role involves managing IBTs between branches, processing orders, handling backorders, and ensuring prompt administration of emergency and stock orders.

Duties and Responsibilities:

  • Maintain an efficient and reliable parts administration and distribution network.

  • Responsible for ensuring that all IBTs between branches (future) and all Parts Admin Operations are promptly sourced applying the appropriate procedures to improve the lead time.

  • Validating transmitted orders

  • Order Acknowledgement review and response

  • Any other jobs assigned by the Parts Order Fulfilment and Admin Manager. Oversee IBT, sending and receiving of parts in the warehouse.

  • Ensure the prompt administration of emergency parts orders and stocks orders.

  • Prepare order plan based on allowable budget.

  • Preparing order templates by component level based on machine models and machine population.

  • Generate Lost sales report, analyse and prepare replenishment.

  • Identify abnormal demands and take the necessary actions.

  • Collecting NPI information and prepare parts for order.

  • Ensure allocation and de-allocation of parts for CVA, CSA and other agreements. 

  • Coordinating between the hose specialist and the warehouse until invoicing the hose to the customer.

  • Shipment Discrepancy investigations and processing (PSDN).

  • Prepare, Update and Circulate Customer Backorder Report weekly.

  • Processing Stock Adjustment and generating stock adjustment report as needed.

  • Tracking of all customer orders and updating initiators accordingly.

  • Visitation to Customers Sites

  • Follow up on allocations and ensure that completed orders are invoiced.

  • Prepare and circulate Counter Completed Orders not invoiced to Sales Team Weekly.

  • Revise Stock Alerts and coordinate with inventory team to improve stocking.

  • Filing for all relevant documents (PSDNs, etc.)

  • Any Other job assigned by his manager.

Job Requirements

Skills

  • Ability to read, write, speak and understand English

  • Good Computer and analytical skills

  • Knowledge of supplies, equipment, and/or services ordering and inventory control.

  • Ability to reconcile stock counts to report data.

  • Database management skills.

  • Ability to analyse and solve problems.

  • Ability to receive, stock, and/or deliver goods.

  • Clerical, word processing, and/or office skills.

Job Requirements 

  • Bachelor’s degree in business, engineering, accounting or a related administrative field.

  • 2+ years previous supply chain, order management, or logistics experience preferred.

  • A good understanding of the Caterpillar product and supporting systems
