Job Description

Purpose of the Job: support smooth operation of the hospital by effectively procuring  inputs, supplies and other items in the right quantities and qualities and ensuring time deliveries

Roles and Responsibilities

 -  Receives purchase requests and orders from user departments and process for timely acquisition and availability of required items or services.

 -  Verified purchase requisitions, clarifies unclear items description, and recommends alternative items having similar use.

 - Assists in the preparation of bid documents and supplier bid lists to obtain competitive quotations on goods and services.

- Participates in technical evaluation committees when appointed and do the analysis report as required.

- Prepares purchase orders, in consultation with Procurement head, by verifying specifications and price.

-  Forwards purchase orders to suppliers and expedite orders.

-  Collects purchased items from suppliers.

-  Verifies the product specifications and quantity as per the purchase order.

-  Verifies receipt of items by comparing items received to items ordered; resolves delivery error with suppliers.

-  Initiates payment requisition for purchases by compiling receiving and other supporting documents which evidence purchases of goods.

-  Evaluates and monitors contract performance to ensure compliance with contractual obligations and to determine need for changes.

- Prepares and maintains accurate records and documentation on all purchases, contracts, correspondence and related follow up. 

- Monitor inventory levels and reorder stock as needed to maintain optimal inventory levels.

-  Resolve any issues or discrepancies with suppliers regarding orders, deliveries, or invoicing.

-  Participate in vendor evaluations and supplier performance reviews to assess supplier performance and identify opportunities for improvement.

- Performs other duties when he assigned.

Job Requirements

Qualification:

- BA Degree Purchasing, Purchasing and Supply Chain Management, Business Management, Management, or related fields. 

- Experience: Minimum of 4 years of experience in purchasing or procurement roles

Competencies:

 - Understanding of e-business / e-procurement systems

- Computer literacy, proficient in Microsoft Word, Excel, and Publisher amongst others.

- Knowledge of Ethiopian procurement statutes

-  Ability to compile, review, categorize, prioritize, analyze and interpret data and/or information

- Verbal and written communication skills.

-  Time management skills.

- Strong negotiation skills and the ability to build and maintain effective relationships with suppliers.

-  Excellent communication and interpersonal skills, with the ability to interact with stakeholders at all levels.

- Attention to detail and the ability to manage multiple tasks simultaneously.
