We have been working in Ethiopia since July 2015 by obtaining an official licence from Authority for Civil Society Organizations.  

 With funding from Global Affairs of Canada (GAC), Cuso International, in partnership with the Institute of International Education (IIE), has been delivering Promoting Greater Access to University for Girls (U-GIRLS 2) Project in Benishangul Gumuz Regional State, Ethiopia, since the June 2020. U-GIRLS 2 Project addresses a number of barriers that impede adolescent girls’ education and enhances academic, social and soft skills for adolescent girls, including those with disabilities. In addition, the project focuses in strengthening the capacity of teachers and education institutions to deliver quality and gender-sensitive education. The initiative seeks to adopt a holistic and transformational approach to address barriers to girls’ higher educations, including through community engagement. U-GIRLS 2 Project has been implemented in selected seven high schools of BSG Regional State.

 ABOUT THE ROLE

Reporting directly to the Operation Officer, the Logistic Assistant (LA) will provide comprehensive logistics, project administration support, store management function to the UGIRLS2 project.  The LA would play an active role to ensure relevant project inputs acquired, stored, and distributed timely as per Cuso International requirements.

 KEY RESPONSIBILITIES

 Project Administration and Logistic Services  

  • Proactively manage program management and admin staff travel logistics (vehicles arrangement, coordination of project field travels, documentation of field visit related reports, etc.)

  • Responsible for facilitating for project procurement, and service contracting in Assosa as well as in the U-GIRLS2 project target areas of BSG

  • Manage local procurement for the office including tender announcement, quotation collection, organization of selection process, purchase, and delivery.

  • Supervision and performance managing of any agencies or Cuso services providers contracted to support Assosa Project Office

  • Prepare and maintain project beneficiaries and partners files for provision of good and supplies

  • Prepare accurate databased for distribution of suppliers for partners and project beneficiaries.

  • Providing all project supplies according to the approved and properly requisition and documents on time.

  • Manage the CPO store and do regular inventories stocks and timely distribution of assets as planned

  • Support the CPO team on preparing and managing vendors list, organize and deliver receipts and any supporting documents to the finance team on a timely basis.

  • Assist in providing all project supplies according to the approval and proper requisition and documents on time.

  • Maintain accurate project office transportation records, ensuring vehicles are regularly serviced, have appropriate insurance and other legal documentation requirements, and that they are used in line with established procedures.

  • Keep track of fuel utilization of the vehicle and regularly monitor the fuel consumption.

  • Follow up proper functioning and maintenance of the office equipment’s (Printers, Scanner, Computers, Telephone, Generator, Toilet)

  • Monitor & ensure the office & Toilet cleaning.

  • Maintains and updates Office Equipment’s records. Attach Asset Tag number to all Equipment.

  • Conduct regular planning and facilitate timely procurement of goods and services for the field office.

  • Provide logistic assistance in running workshops / trainings and conduct payment for participants when appropriate.

  • Maintain teamwork through working with the program team, finance, and procurement officers to ensure efficiency and effectiveness in resource utilization and prepare and submit timely reports to the program manager.

  • Preparing work plan and cash advance request for monthly and quarterly office utility costs and program implementation and settle all floats taken as per Cuso International financial policies and procedures on time.

POSITION QUALIFICATIONS:

 Essential

  • Degree in Management, Business Administration, economics, developmental studies, Supplies or a related field

  • Minimum of five years of work experience in supplies management and/or project operation support.

  • Experience providing excellent customer service.

  • Excellent in time management and creating and managing appropriate Management Information System of supplies and distribution of assets.

  • Efficient communication skills (verbal and written).

  • Excellent interpersonal skills, including the ability to listen, be patient and diplomatic.

  • Effective, constructive, and creative problem-solving abilities.

  • Professionalism, diplomacy, and ability to exercise discretion and maintain confidentially.

  • Ability to deal effectively and professionally with people from a variety of cultural and national backgrounds.

  • Commitment to teamwork.

  • Attitudes and behaviours that demonstrate respect for diversity.

  • Demonstrated commitment to volunteerism.

  • Proficiency with Office Suite (Windows, Word, Power Point, Outlook) database and internet.

  • Ability and willingness to work irregular hours and frequent travel to project locations.

 Desirable

  • Working experiences in general education sector, especially supporting girls’ education and community mobilisation,

  • Interest and/or knowledge of international development issues (Gender equality and social inclusion, climate action)

  • Basic financial and budgeting skills

  • Experience of dealing with national and local government departments

  • Experience of working in a non-governmental or not-for-profit

  • Knowledge of the national supplies and procurement management standards and ethical requirements.
