Job Description
Administrative assistants provide administrative and office support for supervisors. They perform a variety of tasks, such as answering telephone calls, receiving and directing visitors, ordering office supplies, maintaining the office facilities running smoothly, and ensuring that equipment and appliances work properly.
Organize and schedule meetings and appointments, including taking meeting minutes and maintaining contact lists.
Maintain client correspondence files and manage incoming and outgoing mail.
Coordinate office maintenance and manage the purchase of office supplies.
Arrange travel logistics such as booking flights, cars, and hotel reservations.
Greet and assist visitors to the office and manage staff appointments.
Perform administrative tasks including filing, typing, copying, and scanning documents.
Assist in supervising guards, cleaning service personnel, and office messengers.
Assist with day-to-day operations of HR functions, including compiling and updating employee records and processing documentation.
Coordinate communication with candidates, schedule interviews, and maintain proper records of employee attendance and leaves.
Maintain confidentiality of HR files and records, performing periodic audits to ensure compliance.
Act as a liaison between the organization and external benefits providers and vendors.
Assist in planning and executing special events and coordinating HR projects.
Administer petty cash according to established procedures.
Perform other duties as assigned by the HR & Admin Manager.
Start Date: As soon as possible
Reporting to: HR & Admin Manager
Qualifications:
Bachelor's degree in Business Administration or related field preferred.
Proven experience as an administrative assistant or office administrator.
Strong organizational and time management skills.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills in English.
Ability to multitask and prioritize tasks effectively.
Attention to detail and problem-solving skills.
Ability to maintain confidentiality and handle sensitive information.
Previous experience in HR functions is a plus.
Ability to work independently and as part of a team.
