Summary:

The U.S. Mission in Addis Ababa/Ethiopia is seeking eligible and qualified applicants for the position of Supervisory Consular Assistant.

The work schedule for this position is:

Full Time (40 hours per week)

Start date: Candidate must be able to begin working within a reasonable period (4 weeks) of receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Duties and Responsibilities:

The incumbent serves as Immigrant Visa (IV) Team Lead for Immigrant, Diversity, Asylee (Visas 92) and Refugee (Visas 93) follow-to-join, and fiancée (K) visas and is directly supervised by the Supervisory Immigrant Visa Assistant.

As IV Team Lead, the incumbent oversees the work of a team of up to four IV Assistants involved in all aspects of processing immigrant visas. This includes

  • in-person intake and customer service to immigrant visa applicants, as well as US citizen and foreign clients;

  • collects applicant and petitioner documentation and prepares cases for officers to conduct interviews and adjudication;

  • administers the online IV appointment system, communicates with applicants, petitioners, and legal representatives on immigrant visa related issues;

  • data entry into the computerized consular systems; performs quality assurance and printing of authorized visas;

  • flags suspect documents or other fraud indicators for the Consular Officer and Fraud Prevention Unit staff, as appropriate;

  • maintains physical and electronic records, including sensitive P II, under Department's Disposition schedule and Consular Records policies.

  • The IV Team Lead is also directly responsible for maximizing the efficiency of the team by improving workflow, and procedures and building the team’s expertise in the U.S. immigration process.

Job Requirements:

EXPERIENCE:

For Grade LE 8: A minimum of three years of experience involving the application of regulations and law, extensive public contact, customer service, and/or problem-solving experience is required; at least six months of the three years must be work experience in a consular section. A minimum of six months' experience as a team lead or supervisor is required.

For Grade, LE 7: A minimum of three years of experience involving the application of regulations and law, extensive public contact, customer service, and/or problem-solving experience is required; at least six months of the three years must be work experience in a consular section.

Education Requirements:

Education: Completion of two years of college or university studies is required.

Evaluations:

LANGUAGE: English speaking, reading and writing - Level IV (Fluent) is required.

Amharic speaking, reading and writing - Level IV (Fluent) is required. (These may be tested)

 (You are required to pass the English Placement Test (EPT) that is conducted by the Human Resources Office).

SKILLS AND ABILITIES:

  • Intermediate knowledge of MS Word, and Outlook, MS Excel and PowerPoint is required.

  • Must have good interpersonal skills and be able to lead a team effectively to accomplish section goals.

  • Must be able to perform work with accuracy at a quick, rapid pace and demonstrate attention to detail.

  • Must be able to deal effectively with the public, exercise tact, and be able to work under continuous pressure and time constraints.

  • Must be able to draft a variety of written correspondence in both English and local languages.

  • Must be able to explain complex consular laws, regulations, and procedures to a variety of audiences.

  • Must be able to apply good judgment in evaluating evidence, protecting sensitive information, and applying regulations correctly. (These may be tested)
