Job Summery

MAIN PURPOSE OF THE ROLE

The Logistics Coordinator is responsible for managing and delivering an efficient and effective transport/liaising and purchasing service across all programs of AIHA- Twinning Center. This includes implementing, monitoring, and following up across all logistics and liaison disciplines to ensure that AIHA standard policies and best practices are followed. The person will provide technical support to local and international staff in areas of his/ her role.

WORK SCHEDULE

The Logistics Coordinator has 40 40-hour schedule that flexes around needs but typically is based on a Monday – Friday, at working hours of AIHA- Twinning Center Ethiopia Office; it is common for the Logistics Coordinator to work irregular hours as needs arise.

RESPONSIBILITIES

Finance, Admin, Procurement & Supply management

  • Responsible for taking and bringing documents, changing cheques, and effecting payments related to AIHA transactions and deals.

  • Organize and file contract documents directly related to your position (such as vehicle rental)

  • Arrange hotel accommodations for AIHA Travelers upon the request of the AIHA-Ethiopia Country Director, Finance and Admin, Program, and other AIHA staff.

  • Provide assistance in the office performing required clerical functions, including purchasing stationery and business meeting supplies for the office and partners.

  • Organization and supervision of staff travel and travels organized by AIHA (rental contracts, movements follow-up, report, logbook maintenance) in accordance with AIHA log and security regulations.

  • Develop a coherent procurement strategy in collaboration with the management team and program staff that considers the AIHA Procurement Policy, project duration and needs, lead time, and delivery constraints.

  • Ensure imported items are safely arrived and delivered; this includes customs clearance of imports until delivery of the goods and the official handover of items against signature of receipt with respective staff, team, or partner.

  • Maintain control of all stock, monitoring storage, request, and issuance to avoid stock outs and efficient utilization of resources.

  • Make sure the vehicle is clean and well maintained, ensuring road-worthy condition.

  • Prepare a log of who was transported and the number of hours of that assignment and produce a summary of mileage and utilization of fuel and oil costs on a monthly basis.

Program Support

  • Maintain regular communication with all AIHA-Ethiopia staff to ensure proper coverage of all transportation needs for meetings, errands, and visiting guests are met.

  • Ensure fleet requirements for the program are met, arrange airport transfer for arriving and departing guests, and transport guests to lodging locations.

  • Collaborate with program staff while preparing for conferences, seminars, workshops, etc.

Other Technical support

  • Coordinate the appropriate selection, purchase, installation, use, and maintenance of office equipment and materials in the office.

  • Ensure appropriate use of the vehicle by all staff (e.g., use of seatbelts, adherence to speed limits, vehicle booking process, and movement monitoring system) is in place.

Job Requirement

Skill and Knowledge Required

  • 10+3 or preferably a College Diploma in Auto Mechanics, Management, Purchasing Management, IT or a related field

  • Valid Ethiopia 3rd or Public I- Grade Driving License

  • Minimum of 5 years of experience as Driver /Liaison officer or logistic Coordinator, preferably in International NGOs working with Health facilities

  • Very Good command of English and Amharic languages

  • Computer skills to include Microsoft Office programs.
