Job Description

Job Purpose:

  • The Store Keeper reports directly to the Senior Warehouse & Asset Officer and responsible to work closely with country office warehouse teams in tracking movement of the organization asset from the point of receipt and in the hands of staff and up on final return. The Store Keeper should be able to take part during receipt of overall supplies arriving to Head Office store, especially on the organization Asset like IT equipment, Furniture and office supplies, Spare parts. His/her main role is to insure well-maintained tracking and follow-up on condition of the organizational asset, keep necessary issue documents and prepare period report to line manager regularly. Support year end Fixed Asset report consolidation and verification of Assets custodian.

Main duties & Responsibilities:

Store Responsibilities

  • Support routine warehouse activities (Receiving, handling, dispatching, recording and documentation) with rest of the warehouse team in line with the organization warehouse and commodity management policies.  

  • Identify suitable space in the warehouse and organized for organization Assets procured and received at Head office warehouse. Make sure the space organized is safe from damage and Assets are placed well.

  • Support warehouse team in counting and receiving , staking and handling and dispatching of supplies in regular basis

  • Deal with daily labours on payment as per agreed rate and hire for loading/Offloading and required warehouse activities. Process their payment with complete necessary paper and effect without delay after completion of job.

  • Facilitate and follow receipt of any organization Asset and insure proper handling in the warehouse before issued out. Support Tagging and labelling of an asset and identify based on donor, program and value and keep records as per the organization procedure.

  • Track Asset issued out from warehouse and indicate location of the asset, issue custodian sheet and follow the condition of the Asset for possible maintenance and repair request.

  • Support administration and facilities team in organizing office supplies to a staff during warehouse handling and issuance to staff, keep issue documents and file for future reference.

  • Identify High value Asset separately, follow the condition of the Asset for Insurance cover purpose and separate new and old Assets.

  • Follow with the organization Assets in the warehouse and in the hands of staff, separate and keep Asset based on their condition, deal with Asset returned from staffs, previous program… and manage for next use or possible disposal.

  • Insure other supplies in the warehouse we kept in the warehouse, follow with store clerk and check for expiry date, condition of the supplies and proper handing in the warehouse.

  • Update staff custodian sheet, regularly check and update between physical Asset and custodian sheet.

  • Insure Custodian sheet is updated and signed by the Asset holder and follow return of Assert before the warehouse manager sign clearance documents 

  • Follow with the rest of warehouse team in the management of organization asset, keep proper record of the warehouse documents, file corresponding issue documents (SR, PO, GRN, RR. GDN, receipt acknowledgement/ feedback signed Custodian sheet) in an easy traceable way. 

  • Share periodic report on stock controlling system of the organization Asset and address or report to line manager for any challenges and task required.

General

  • Support Administration and facilities team in repairing and Maintaining work related Equipment - Servicing, repairing, adjusting, and testing machines, devices, moving parts, and equipment (Grass Cutting Machine, Wheelbarrow, Digging Spade, Garden Trowel, Fork Hoe, Garden Knife, Garden Secateurs, Golden Gark, Heavy Duty Hoe).

  • Support moving of furniture and rearrangement of other office supplies in the office as well as at international staff residence.

Health & Safety

  • Ensure a safe environment for staff and clients by adhering to safety and health regulations.

  • Ensure all equipment is neatly and safely put away

  • Ensure any health or safety issue is reported to the Administration officer

  • The duties and responsibilities of the job holder not limited to the above activities but includes other duties assigned by the line manager.

Job Requirements

Personal specification

  • BA Degree or Diploma in Accounting, Purchasing or relevant and minimum of 3 or 5 years relevant experience respectively

  • NGO experience in emergency projects is an advantage Skills Required

  • Good communication and report writing skills

  • Good interpersonal skills and team player with sensitivity to cultural diversity

  • Ability to work under pressure

Competencies:

  • Knowledge of proper bookkeeping and inventory management

  • Familiarity with standard concepts and best practices in a stockroom or warehouse environment

  • Analytical mind with ability to make accurate mathematical computations

  • Excellent written and verbal communication skills

  • Competencies in data entry, analysis, and management

  • Keen attention to detail and ability to effectively manage time

  • Skills and physical ability to operate common office equipment
