Job Description

1.     JOB SUMMARY

Under the general management of the Fleet Manager, the Fleet Management Officer organizes, coordinates and controls the activities including scheduling of vehicles, checking transport documentation, staff management of the transport team, consumables management, vehicle maintenance and insurance follow-up and other related activities to meet the requirements of work units or centres.

2.     DUTIES/TASKS

·       Establishes well organized fleet management system  for efficient office work;

·       Establishes and regularly updates vehicle and driver file in an orderly manner;

·       Maintains history of MSIE vehicles in hard and soft copies for quick reference;

·       Checks completeness and accuracy  of log books and put signature every day;

·       Supervises the timely fuelling, maintenance and servicing of vehicles;

·       Tracks vehicle insurance policies and follow up claims; 

·       Makes sure licenses of drivers are  renewed on time and drivers undergo annual eye and medical test;

·       Organizes annual vehicle inspection and ensure vehicles and drivers are  physically fit for work;

·       Based on preventive maintenance schedule, books maintenance and service requirements   of MSIE vehicles in the selected garage/workshop;

·       Maintains accurate  data regarding fuel and maintenance costs, analyse mileages and vehicle running costs for all MSIE vehicles on a monthly basis and provide recommendation to ensure they are operating efficiently and effectively;

·       Develops and implements efficient vehicle booking and planning systems in consultation with user departments;

·       Makes sure daily and monthly vehicle related checklists and reports are used and submitted on time across all field programs;

·       Participates in developing standards regarding tire, fuel replenishment and revision of driving policy;

·       Ensures proper implementation of driving policy;

·       Identifies risk areas and propose preventive measures while transporting people and property;

·       Ascertains that all vehicles are equipped with the necessary first aid kit, tools and fire extinguishing equipment;

·       Prepares and submit periodical maintenance, accident and other reports to immediate supervisor and other mangers as required;

·       Prepares budget for the transport unit and submits monthly cash forecast regarding fuel., perkier and other related expenses;

·       Arranges  training on defensive driving and safety and security related topics to MSIE drivers  to upgrade their skill and minimize risk and damage;

·       Analyses reports generated from vehicle management software and provides regular reports to Fleet Manager;

·       Coordinates transportation of goods to transport supplies, equipment, packages, etc. using either MSIE or rented vehicles for the purpose of picking up and delivering items to designated sites;

·       Participates in the bid preparation and evaluation process to select garages and vehicle rental companies

·       Performs related duties as required

MSC/BSc in Automotive Technology, Business Management

b.     Experiences

   Two/Four years of relevant experience
