Position Title: Supply Chain Associate (Warehouse)

Position Grade: G-5

Organizational Context and Scope

Under the overall supervision of the Supply Chain Officer, the direct supervision of the Senior Supply Chain Associate, and in collaboration with relevant units at Headquarters, Regional Office and the Administrative Centres, the successful candidate will be responsible and accountable for the Warehouse Management activities in Addis Ababa, Ethiopia.

Core Functions / Responsibilities:

  • Ensure all warehousing transactions are done in line to IOM internal guidelines and assist in management of commodity accounting, data quality and integrity in close coordination with Senior Supply Chain Associate

  • Assist in the overall management of the warehouse by receiving the goods, updating the warehouse records in the database, and dispatching the goods for operations in Ethiopia in accordance with the set-out plan.

  • Receive goods from global and local vendors/transporters and inspect the quantity/quality to ensure they all meet the same specifications and standards ordered.

  • Monitor loading/offloading activities at the warehouse whenever taking place and supervise the hired labour workers to cover the job properly.

  • Follow up on the transportation of goods exiting the warehouse to other destinations to ensure they reach their destination in same condition as were dispatched.

  • Conduct physical inventory of items in the warehouse and provide updates on the inventory records upon completing each activity.

  • Keep the entire warehouse facility well maintained, including ensuring that goods are stacked, stored and updating the stock cards where necessary, and that security and safety measures are always maintained within the warehouse premises in coordination with the Security unit.

  • Minimize wastage by closely monitoring expiry items tracking and reporting, deployment of rodent control

  • Prepare Quality Inspection reports to be submitted to Manila Supply Chain Unit (MSCU) Global Quality Assurance (QA)/ Global Quality Control (QC) for review and update internal QC/QA system reporting.

  • Registers samples received against bids for technical evaluation. Assist in the sample evaluation and inspection arrangements and disposing them after expiration of contract/long term.

  • Assist in maintenance of test records and reports. These reports to include –weekly and monthly reporting (instrumentation and control devices, KPI on Quality, rejected shipment, corrective action plans and reports on bid sample evaluation work).

Required Qualifications and Experience

Educational Qualification

  • High school diploma with five (5) years of relevant experience; or,

  • Bachelor’s degree in Warehouse Management, Supply Chain Management, Procurement & Logistics, business administration or a related field from an accredited institution with three (3) years of relevant professional experience.

  • Certification in quality control standard and processes or experience in a technical or production facility an advantage.

  • Trainings, diploma courses on procurement (at least CIPS Level 2 or similar) and logistics an advantage.

Experience

  • Experience in managing diverse quality control issues.

  • Experience in increasing staff knowledge and their capacity on the quality control importance.

  • Experience in managing diverse procurement and logistics operations

Skills

  • Strong analytical and critical thinking skills

  • Proficiency in MS Office applications such as Word, Power Point and Excel; knowledge of other applications such as Power BI and Visio will be desirable.

  • Excellent communications, teamwork, and organizational skills with the ability to manage multiple tasks simultaneously under time constraints, accurate and detail oriented.

  • Extensive knowledge of IOM/UN internal procurement and financial rules, as well as IOM's system and processes as they apply to Supply chain management.

Languages

  • Thorough knowledge of spoken and written English is required.

  • Working knowledge of other local languages is an advantage.
