Main purpose of the job:

• The Warehouse Manager shall be under the general direction of the Operations Manager. The position shall involve planning, organizing, and supervising the factory warehousing and distribution operation. The main responsibility of the job holder is establishing and maintaining warehousing strategies, maintaining MRP and overseeing the daily warehousing operations, for raw material, consumables and finished goods. Duties involve receiving, sorting, storing and issuing of raw materials, consumables, chemicals and other materials and receiving, storing and transferring of finished goods to Addis Ababa and upcountry. The warehouse manager is also responsible for managing inventory levels of finished goods, raw materials, consumables, chemicals and other materials, and following up purchase needs.

Accountabilities:

General

• Create and maintain a safe environment for employees, contractors and visitors according to the applicable statutory, PepsiCo and local regulations, policies and procedures

• Ensure Good Manufacturing Practices (GMP) is always practiced in all areas

• Implement food safety requirements and procedures at all times

• Take immediate appropriate action and report food safety management system related problems to the right person/s

• Build continuous improvement culture; TPM, 5S and RCFA implementation 

• Improve performance tracking and data registration in alignment with company PMP

• Manages per dime and OT of subordinates

• Leads, manages, evaluates, coaches, and gives feedback to team members

• Plans and deploys resources (people, materials, process and equipment) to meet the needs of others safely whilst excelling at quality of service and balancing costs

• Perform other duties as assigned by the supervisor

Inventory management

• Ensures warehousing operations are aligned with company EHS agenda and targets

• Works with planning lead to ensure timely availability of all raw materials

• Works with Factory team and AA WH team ensures availability of all needed SKUs

• Conducts daily checks on inventory and takes appropriate action and escalates discrepancies

• Tracks consumption of materials (like raw materials, chemicals, consumables, stationary materials, cleaning materials) under supervision and ensures their availability

• Adheres to quality standards and ensures all quality requirements are always followed (e.g., FIFO)

• Ensures execution and management of cycle count & end of period counts

Warehouse management and its employees

• Ensures the warehouse is clean, safe, and secured.

• Develops and manages the WH according to standard operating procedures

• Benchmarks, adopts and implements world class WH operation

• Ensures daily operations are running smoothly and effectively

• Develops warehouse storage, layout, and material handling equipment (MHE) plans 

• Actively works on culture and WoW to instill a properly functioning team (e.eg., setting up formal weekly meetings and DDS)

• Plan warehousing resources (staff, space, and equipment) effectively and runs the operations cost efficiently while meeting customer service requirements

• Translate short/medium term sales, inventory, and production plans into warehousing resource (staff, space, equipment) requirements.

• Develops WoW in managing the WH and the alignment with other sections

Control and Financial responsibilities

• Enforces the follow-up and implementation of financial and process controls

• Controls and manages budget, expenses and timely settles petty cash

• Sets up, with other stakeholders, financial and process controls

• Timely inventory reporting & movement approval

Reporting

• Overtime reporting

• Inventory reporting daily from AA WH

• Daily loading & offloading performance for the warehouse.

• GMP standard and Gemba walkabout reports

• Incident reports and risk factor analysis

• Stock loss: Managing stock damage, obsolescence, loss to a minimum.

• Accurate Inventory: Giving timely, accurate information to stakeholders on inventory.

• OOS: Out of stock levels

• GMP: Maintaining good manufacturing practices in the warehouse.

• 5S: Following up on the implementation and sustainability of 5S standards.

• FTE: Managing Full time employment & managing OT.

• OFR: Order fulfillment rate of demands

• Residence Time: Managing the time it takes to offload & load trucks

Job Requirements

Experience & skills required:

• Education: Bachelor’s Degree or above in Logistic and Supply Chain Management, Business Management and Material management or other related fields

• Experience: 6 years in operations out of which 4 years in warehouse (out of which 3 years in people management role), preferable in FMCG

• Language: Able to speak, read and write in English

• Computer: Able to use and utilize MS office applications
