ROLE PURPOSE
The position holder will be responsible to handle communications between sponsored children, families and Plan Ethiopia’s Sponsorship Unit; supporting medical referral arrangements for sponsored children; supporting visits to the communities by sponsors and serving as Plan’s focal person for both sponsorship and program implementation at grassroots level. Responsible in building Plan’s relationship with the community, children, families, SCs and partner organizations; facilitating and handling of community mobilization activities and program/ project implementation. Cascade consultation with communities and identification of community priority areas for program implementation.
Accountabilities and Main Work Activities
Responsible to handle communications between sponsored children, families and sponsorship unit to meet organizational standards including timeliness, content and quality
Capacity building
Manage and train CBOs/ CVs and provide continuous performance feedback
Participate in sponsorship program operational planning.
Conduct sponsorship awareness meetings on a quarterly basis with children, families and community members
Awareness raising on SPAD program implementation
Conduct quarter review meeting with sector offices
Facilitate trainings for community members and government experts
Case load management
Enroll children as per sponsorship enrolment criteria
Child data system management
Review, re-name SC photos and attached with questionnaires – Control Sheet
Update SCs' and their family’s profile via questionnaires
Collect and submit communication items timely such as data, photos, sponsor gift/letter response, welcome greeting communication for processing and dispatching. The data collection could be in hard copy or digital.
Responsible for verification of relocated children and completion of SCCDR (sponsored child communication delay report) form and submit to office.
Respond to the NOI as received from DEC
Handle other sponsorship related activities as requested by immediate supervisor
Notify Sponsored Children’s death within 72 hours and submit the report to the PA office.
Communication management
Ensure 100% quality checks and timely submission/processing of communications
Dispatch of communications from field office to respective community volunteers
Track and record the SC beneficiary who participated in program and file appropriately.
Ensure the delivery of gifts to SC/families against signature and Ensure that SC/family write their own response letters to sponsor if they are able to write
Data privacy and SCs’ archive management
Ensure SC profiles and communications are kept safely in files at PA/community offices in line with the safeguarding children & young people policy
Open file for new enrolments
Filing SC documents including NOIs and Cancellation documents (SCCDR, Cancellation Forms, Email authorising to cancel, Death Announcement and Cancellation Memos).
Ensure SC’s file is secured and contain all the standard items per the guide line.
Meeting PI commitments
Tracking of project reaches to sponsored children/ families
Notify SC/family in case of the SCs cancellation due to request by IH/NOs (unusable)
Make physical verification of SC/family to 20% of Sponsored Children for verification of data collected and follow-up purposes.
Sponsor Visits
Coordination of sponsor visits
Facilitate implementation of Plan’s program/projects in the SC communities in collaboration with program department, communities, local government and stakeholders
Coordinate statutory SC family home visits for physical and wellbeing verification with Community Volunteers and submit visit summary reports to immediate supervisor and respective program staff
Track and record the SC beneficiary who participated in program and file appropriately.
Ensure the integration of sponsorship and program implementation
Facilitate, mobilize and support communities and children’s engagement in the planning, implementation, monitoring and evaluation of Plan’s programs and projects at village level
Plan’s representation at the grassroots/community level by facilitating the implementation of programs and projects; and mobilizing community on Plan’s programs and projects
Facilitate and establish smooth working relationships between Plan, sponsored children, families, community leadership, government extension staff and other stakeholders at district and village levels
Community orientation on Safeguarding Children & Young People policy and reporting and responding guidelines
Conduct community need assessment and submit before June to be consider for the following annual plan
Take part in beneficiary selection processes, including to facilitating and ensuring the inclusion of children with disabilities, sponsored children, girls/women
Serve as a point person at community/village level in any partner managed events to maximize Plan’s visibility, including participation in community meetings
Forward concerns and inquiries from the community to immediate supervisor in relation to development needs and provide feedback to the community.
Regularly inform Sponsorship and Program Staff at the Program Areas, with regards to any changes, developments, success stories etc.
Prepare and submit annual plan, quarterly, Monthly plan and Produce progress reports (Monthly, Quarter, Bi-annual and annual properly and timely)
Facilitate monitoring and evaluation demanded from PA, regional, zonal and district offices
Perform other duties as requested by the immediate supervisor
Handle medical cases of sponsored children by notifying & updates sponsorship unit
Notify medical cases of sponsored children to immediate supervisor
Update progress on the health conditions of sponsored children receiving treatment.
Facilitate community insurance for sponsored children or other alternative as per the context
Responsible to facilitate and handle sponsor visits to sponsored children and ensure are done properly at community level
Handle sponsor’s pre-visit arrangements of respective sponsored children and families and accompany sponsor’s visit as required.
Report any unannounced visit to immediate supervisor.
Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)
Understands and puts into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures.
Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.
Ensures that Plan Ethiopia contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.
QUALIFICATIONS AND EXPERIENCE REQUIREMENTS
Qualifications/ experience essential:
Degree graduate in Community Development studies, Social work, Business, Economics and other related discipline with minimum 3 year of experience.
Minimum of 3 year’s extensive experience in development work at grassroots level.
Experience in emergence/relief programs will be an added advantage.
Computer literacy in Excel and Word.
Must hold a valid motorcycle license
Languages required
Fluency in English language is essential
In addition to Afan Oromo, Knowledge of Local Languages is a desirable
