Job Description

Purpose:

Under the supervision of the Asset and property Administration, the Stock Controller  is responsible for performing the materials management activities of stock control & requirement planning, including item identification, processing store requisitions & stores issue vouchers, maintaining current and accurate records of Asset and property Administration data, undertaking reconciliations between physical and record balances in cooperation with the warehouse personnel; proposing reorder points and economic order quantities for stock items within the limits of his/her delegation; maintaining traceable documentation and records of fixed assets deployed within the project of assignment; registering and expediting open orders that have been transmitted for purchase or transfer from other warehouses; reporting and follow up of undelivered, damaged or short landed items; preparing and submitting periodic stock movement reports.

As part of our expansion process, we are currently seeking a Manager for the Chairman & CEO’s Office responsible for the organization and coordination of office operations, procedures, and resources to facilitate effectiveness and efficiency for the entire organization. As the executive assistant to the Chairman, this individual will perform a wide range of administrative support activities and assistance to facilitate the efficient operation of the Chairman’s Office. 

Key Responsibilities

  • Ensures that stock control cards have been established to maintain records of supply and/or stock movement data at his/her projects and head office of assignment;

  • Ensures the maintenance of current and accurate inventory records based on legitimate Asset and property Administration documents (receiving, issuing, transfer, and related documents);

  • Obtains, identifies and processes requisitions for materials (as may be presented from legitimate users at the projects/head office of his/her assignment) up to the satisfaction of such demands as per the specifications of users;

  • Ensures the maintenance of register logs/tracking sheets/ for outstanding demands of users at the projects/head office of assignment;

  • He/she ensures the maintenance of accurate and traceable records for fixed assets deployed at the projects/head office of his/her assignment; 

  • Proposes for the maintenance of stocks for items revealing predictable consumption patterns/behavior and seeks approvals from his/her supervisors so as to ensure availability such items whenever required for use;

  • Makes sure that all stock items received and issued are made based on legitimate company documents;

  •  Follows up and reporting of undelivered, damaged, overage, shortage items;

  • Reviews the safety and security of stocked items and the proper administration of warehouses, and reports to his/her supervisors for any deviations from the standard codes of practices of warehousing & Distribution;

  • Organizes and coordinates for the physical inventory count of stocked items; make sure that inventory balances are reconciled with records;

  • proposing reorder points and economic order quantities for stock items within the limits of his/her delegation, and seeks approvals to implement such proposals;

  •  maintaining traceable documentation and records of fixed assets deployed within the project of assignment;

  • Registering and expediting open orders that have been transmitted for purchase or transfer from other warehouses;

  • Able to work a flexible schedule including recovery shifts, 24/7, when needed.

  • Makes regular reports of stock balances and order statuses – to his immediate supervisor as well as to asset and property administration Director at head office;

Reporting Lines: Reports Directly to Asset control and property Admin Director

Job Requirements

Education and Training:

  • BA Degree in Supply & Material Management or related 

Work Experience

  • Minimum 5/7 years relevant experience & ERP system advantages
