Summary of position
Under the supervision of the Base Logistics Manager, the Senior Log Officer will a focal person for managing and monitor the entire fleet of vehicles, warehouses, generators, and motor pumps, their use, their maintenance, and their consumption. Manage the facilities (premises) and ensure they are well maintained.
The Senior Log Officer role’s purpose, engagement, and delivery are:
Purpose (The substantive focus of the job encompassing scope, depth, and difficulty of work both conceptual and applied)
Ensure good working conditions of the fleet (vehicles, generators, and motor pumps) Fleet Officer:
Supervise the maintenance of the fleet at the mission level;
Assess and select mechanics at base level to optimize cost and efficiency of service, without impact on programs;
Check that the vehicles are adequately equipped for their use;
Write reports on the fuel consumption and cost for each vehicle, generator, and motor pump;
Manage the stock of spare parts and their consumption at the mission level.
Make sure to keep the vehicles available for instant use by Fleet Officer:
Plan the movements of vehicles for Inter-base movements;
Follow-up on Insurance and licenses for ACF vehicles.
Manage the mechanics’ activities Fleet Officer:
Ensure the organization of the maintenance and services, both for rented and ACF fleets;
Follow the planning and ensure that all vehicles are appropriately serviced and followed up.
Upgrade electrical installations of buildings used by Action Against Hunger (AAH) by fleet officer:
Building electrical assessment using the diagnostic tool of AAH, local regulation, and rules of the art.
Write technical specifications in case of subcontracting works concerning heavy rehabilitations
Carry out the work and small operations (concerning small rehabilitations or adjustments)
Do commissioning
Make building assessments, make drawings & sketches, write specifications & terms of reference of works
Regular check on the material on all bases while visiting
Bring modification to the electrical system in case of hazardous situation detected
Make sure that all buildings rented by AAH (offices and guests) comply with the internal electrical standard and the local regulation
Manage and close follow over the whole stock management at Gambella town, Jewi camp, NG camp, and Pinyudo sub base office.
Ensure stock transactions done according to AAH standard policies and procedures
Ensure every item transported have to accompanied by AAH Delivery Note (DN)
Maintain receipts, records, and withdrawals of the stockroom
Receive, unload, and shelve supplies
Perform other stock-related duties, including returning, packing, pricing, and labeling supplies
Inspect deliveries for damage or discrepancies; report those to account for reimbursements and record keeping
Rotate stock and coordinate the disposal of surpluses
Ensure adequate record keeping and manage all documentation to confirm proper stock levels and maintain inventory control
Joint management with Nut Dep. For drug stock (pharmacy) management as per KitLog.
Support sub-base warehouses when it's needed
Supervise all warehouses at the sub-base checking, controlling, and monitoring of applicability of AAH warehouse procedure, compiling, and reporting.
Coordinate the handling of the movement of purchased goods and equipment with the necessary documentation, and necessary minor repairs
Keeping the cleanness of the warehouse at all times
Engagement: (The focus of interaction both internally and externally needed to deliver a service seek collaboration and build effective partnerships)
Supervise the team (Fleet Officer, Logistics Ass. Warehouses at Gambella, NG Camp, Jewi camp, and Pinyudo sub base office):
Establish their planning and support Base Logisticians;
Delegate the activities to Fleet officers in the bases and check that they are properly executed;
Organize training sessions;
Carry out appraisal interviews;
Provide technical support to the team if necessary.

Report and Administrative responsibilities
Control the quality, accuracy, and punctuality of the Fleet report;
Control the quality, accuracy, and punctuality of the warehouse/stock report (IKD, food, non-food items, and drugs) report;
Control the quality, accuracy, and punctuality of the equipment report;
Control the quality, accuracy, and punctuality of contract report
In collaboration with the Base Logisticians, ensure that the office and guest house premises in the bases are well maintained and up to the required standards
