The International Livestock Research Institute (ILRI) seeks to recruit an Assistant to Project Manager who will provide project management support to the Livestock & Climate initiative (LCSR) and other Sustainable Livestock Systems (SLS) projects.
The International Livestock Research Institute (ILRI) works to improve food and nutritional security and reduce poverty in developing countries through research for efficient, safe and sustainable use of livestock. It is the only one of 15 CGIAR research centers dedicated entirely to animal agriculture research for the developing world. Co-hosted by Kenya and Ethiopia, it has regional or country offices and projects in East, South and Southeast Asia as well as Central, East, Southern and West Africa. www.ilri.org.
Key Responsibilities
Proposal Development
Support in collation and tracking of project proposal documentation, including logging all project documents in various systems;
Project Planning
Work closely with relevant stakeholders to ensure project activity plans are in place;
Organize meetings, conferences, workshops, training, office events and related logistical arrangements such as travel, visas, accommodation, etc;
Project Execution
Liaise with the relevant stakeholders to ensure the completion of activities and requests;
Process, various payments and prepare travel expense reports;
Facilitate procurement of goods and services such as project consumables, staff and consultancy contracts;
Support project fieldwork: work closely with Project Manager/Principal Investigator to arrange fieldwork by ensuring all the logistics are in place; including travel arrangements, accommodation, and meeting venues;
Update and maintain all project databases and filing systems such as staff list, project agreements, contracts, invoices, financial and technical reports donor documentation, and approvals;
Participate in team meetings and contribute to agenda, minutes and action points;
Assist in communicating project information to relevant stakeholders and ensure effective communication within the teams;
Gather inputs for the preparation of project reports and retrieval of supporting documentation for reporting as required;
Project Monitoring
Track and consolidate initiative results for reporting purposes working with the initiative lead; program and project manager to ensure due dates are met;
Project Closing
Coordinate project knowledge-sharing activities at the close of the project;
Update and maintain all project databases and filing systems;
Perform any other related duties as may be required;
Academic and professional qualifications:
BA Degree or Diploma from a recognized university/college in Management, Business Administration or a relevant field
Knowledge in relevant fields and relevant technical training
Experience:
Bachelor's degree with a minimum of two years of project administration experience Or
Diploma in relevant field with five years of project administration experience
Skills:
Technical training in project management – desirable
Effective administrative skills
Effective communication and writing skills
Experience in facilitating teamwork and collaboration across multiple functions
Experience working in an international organization
Duty Station: Addis Ababa, Ethiopia
Grade: HG 12
Minimum Base Salary: Birr 31,313 per month (negotiable depending on the salary history of the candidate)
Terms of appointment: This is a National Staff (NS) position, initial appointment is a fixed term contract for one year and six months with the possibility of renewal, contingent upon individual performance and the availability of funding. The ILRI remuneration package for nationally recruited staff in Ethiopia includes a very competitive salary and benefits such as life and medical insurance, an offshore pension plan, etc. The ILRI campus is set in a secure, attractive campus in Addis Ababa. Dining and sports facilities are located on-site.
