Job Description

Our Company SBG industry PLC seeks to hire competent, experienced and aspiring applicants to fill the following vacant position.

MAIN DUTIES AND RESPONSIBILITIES

  • Assist the general manager’s responsibility and take over his tasks when he is not available in the office.

  • Prepare different types of outgoing letters

  • Ensure adequate office supplies for the entire office and order items before running out of stock.

  • Maintain confidential files including contracts and other documents with an alternative preservation of the premises.

  • Encode draft letters, reports and other documents

  • Handle newspaper and magazine subscription appropriate delivery thereon

  • Giving numbers and follow up the dispatch of outgoing letters, reports etc

  • Filing of all written and electronic and documents of the office in care custody and retrieve and provide such reports up on authorization 

  • Correspondences through phone, letter, fax & email 

  • Follow up the cleanliness and technical condition of all secretarial machines like photocopy, fax etc in the general manager office and request service as deems necessary.

  • Ensure the cleanliness and orderliness of the general manager office and meeting hall and instruct assigned cleaners to perform corrective actions.

  • Prepare different kinds of forms for the company use

  • Prepare purchase orders for the office purpose

  • Keep personal files of top management employees.

  • Taking of minutes at meetings and distributing minutes of meeting before the start of the next meeting.

  • Perform different types of printings

  • Send managers message through electronic media

  • Any other job as assigned by the management

Competencies /Knowledge, Ability and Skill              

  • Energetic, able to work under pressure

  • Reactive person

  • Good knowledge of office management and practices

  • Ability to perform multiple tasks simultaneously

  • Ability to maintain good work relationship and keeping records up-to-date

  • Commitment to team efforts and able to work in a multi-deadline environment

  • Ability to organize record, code and file resource materials, correspondence

Required educational background & work experience:

  • BA degree in Secretarial and Office Management /Related fields At least (5) Five years relevant work experience in the area.
