Job Description
Scope of Role
The position holder will be reporting directly to the CEO and/or DCEO, the executive assistant provides executive support in a one-on-one working relationship and the executive assistant serves as the primary point of contact for internal and external constituencies on all matters of the CEO/DCEO.
The executive assistant also provides support to the senior management team; organizes and coordinates executive outreach and external relations. The executive assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community-oriented, the ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The position holder must have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Key Responsibilities and Accountabilities:-
Provide confidential administrative support including; report creation and maintenance, project support, research tasks, preparation of business travel & seminar arrangements, and meeting scheduling, agenda development, expense reconciliation, and minute taking.
Completes a broad variety of administrative tasks for the CEO and DCEO.
Provides a bridge for smooth communication between the executive team and external contacts.
active calendars of appointments; composing and preparing correspondence that is sometimes confidential;
arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Assist in the development of corporate communications/correspondence and be accountable for the timely distribution of communications (internal and external as required).
Organize and provide oversight for corporate initiatives and celebrations as requested.
Develop and cultivate collaborative relationships with peers, members of the Leadership Team, and external partners.
Assist in the Development of internal newsletters and communications.
Keep a good record of the internal company communications in a traceable manner.
Lead documentation of company events and major interventions.
Support the CEO/DCEO in any activities related to corporate communications.
Qualification and Experience Required
Diploma or Bachelor in Communications, Office Admin-related qualification from a recognized university
A minimum of 2 to 5 Years of experience in experience supporting C-Level Executives.
Good Microsoft Office and office equipment using skills.
Excellent English and Amharic verbal and written skills, additional language would be added advantage
Team player and easy to work with personality.
Strong time management skills, and ability to work independently without constant supervision.
