Job Description
The Warehouse Officer is responsible to implement high standards of warehouse and assist management practices in line with professional material management principles, established methods, and best practices in line with Concern Ethiopia's logistics policy and procedures to enable Concern to achieve its objectives.
Main duties & Responsibilities:
Under the System coordinator or SD supervision, coordinate the day-to-day country office warehouse and asset management functions in line with Concern warehouse policy and procedures
Maintain high-level warehouse and asset management standards through developing excellence practices in receiving, issuing, identifying, dispatching, recording and reporting stock items as well as organization’s assets.
Update country’s FAR- fixed asset register master list quarterly and share to the management as per Concern’s and donor’s assets management policy and procedures
Ensure all organization’s assets are properly recorded and tagged as per Concern and donor’s asset management policy
Coordinate with area office logistics officers and get monthly stock report, then review and consolidate the report for management consumption and manage the routine disposal of assets as per Concern and CHSA guidelines.
When necessary visit field offices and provide the required support including on job training for field storekeepers
Ensure store standards in all field offices are in line with Concern and donors requirement
Ensure the efficient and compliant disposal of assets and work closely with all programme areas to manage the asset disposal process to completion.
Create good working environment within the team and ensure team are motivated to perform their duty.
Evaluate team performance as per HR tool- PDR
Ensure all stock records- bin and stock cards are updated timely and correctly
Ensure for the compliance of minimum donor standards like; separate stock records per donor
Coordinate with the procurement team, plan and organize warehouse space for upcoming supplies as per PO/contract delivery schedule
Establish reorder level for consumable stocks/ supplies like; clearing materials, stationeries, IT machine tonners and fast moving spare parts and ensure supplies are restock before being stock out.
Report immediately when discrepancies, theft or damaged inventors identified or suspected
Check stores physical structure and report immediately when maintenance is required
Ensure all store documents are properly used in all time
Monitor sensitive or perishable supplies like medicine with due care and ensure proper store handling in placed and ensure medicines are issued within a reasonable shelf life
Establish good checking system for arrived supplies involving relevant technical team
Ensure all assets in HO are registered on online FAR register sheet. Also ensure assets are tagged
Maintain health and safety in the work place
Plan, recruit and manage casual workers for loading and offloading supplies
Ensure proper handover take place to coworker when you are away for leave or any reason.
When required visit field offices and provide required supports including on job training for field office store keepers
Perform other duties assigned by your immediate supervisor.
Reporting
Produce Head Officer Central warehouse monthly stock report on shared folder and copy to relevant program and support staff
Prepare regular FAR report per donor and share Finance and relevant program
Follow with field office warehouse team and consolidate monthly report on monthly basis.
Produce quarterly asset verification report

Personal specification
BA Degree in supply chain Management, business administration, or other related field
Minimum 10 years of related experience with warehouse and material management at senior level
Ability to multi-task
Strong Leadership Skill
Coaching Skill
Excellent communication and reporting skill
Excellent knowledge of basic computer applications
