Job Title: Project Assistant-Cash

Job Summary:
The Program Assistant – Cash will work with the Cash team to deliver a responsive, effective, and efficient cash response and support administrative activities during the implementation of the Joint Emergency Operation (JEOP) objective of serving acutely food insecure individuals. The incumbent will provide consistent and high-quality service and contribute to the proper stewardship of project resources to help ensure operational effectiveness in provision of high-quality programming.
Job Responsibilities:
Participate and contribute to market and price data assessments organized by the CRS/JEOP program.
Facilitate communication with all members of the JEOP program team, relevant staff in other departments/teams and external stakeholders as relevant. Send/receive and distribute all incoming and outgoing mail/faxes/letters/documents.
Participate in training and actively uphold CRS code of conduct, and proactively make considerations of gender, age, safeguarding and protection standards during cash response and related activities.
Support and administrative contribution to organizing JEOP partner organizations’ staff capacity strengthening as required.
Upload data sets, information and update documents through assigned database while ensuring quality and reliability of information under the guidance of ICT4D and cash team
Support administrative duties (e.g., travel, meeting/workshop, and other logistics arrangements) for staff and visitors including.
Schedule and coordinate appointments.
Provide logistical and communication support to event planning activities among others. prepare transactional documents in support of project implementation processes and support and facilitate coordination of transaction processing (e.g., hotel and flight booking, payment requests, travel authorizations, travel advances, visas, periderm payments etc.).
Make field visits as required to support partners programming needs including but not limited to registration, distribution, training/learning events outside of Addis Ababa.
Support the program implementation activities related to RedRose CAT platform requirements such as data cleaning, card preparations card activation, reconciliation, and document review.
Ensure project equipment are utilized in a proper manner and ensure the records are always up to date.
Support implementation of property management processes, such as property receipt and distribution, property labeling, physical counts, etc.
Compile data perform data entry and data verification in relation to project administration processes (e.g., various contact lists, employee leave balances, staff attendance reports, Vehicle Log Sheets review, visitors' welcome packages, etc.).
Provide specialized project administrative transactions and processes (e.g., translate, type, proofread, and/or format documents; record and transcribe meeting minutes; draft simple correspondence messages).
Prepare RFGS for procurement of services, goods and upload or update program and procurement documents on Insight
Perform related activities up on request.
Typical Background, Experience & Requirements:
Completion of 1st Degree or Completion of College Diploma (ICT related studies, Social or Natural Science)
2-year experience for BA/BSC Degree or 6-year experience for a diploma holder.
Experience working in an office environment in program support, clerical or administrative role. Experience with a local or international NGO a plus.
Excellent compute skills including experience with typing/word processing, data entry into online databases and forms, simple report preparation and working with various office equipment.
Experience in MS Office package (Excel, outlook Word, PowerPoint, Visio) and information management systems. Proficient in Word.

Internal: JEOP team, Operations staff (Finance, Supply Chain/Admin, IT), other CP program staff (RFSA, Emergency, other program departments).
External: JEOP consortium members,church partners,UN stakeholders(OCHA,WFP), other humanitarian stakeholders.
