JOB SUMMARY

Working with and reporting to the Supply Chain Manager, Senior Logistics and Asset Officer provides the necessary logistics and non-medical stock and fixed asset management services to the support office, centers, and area offices; maintain materials properly and safely.

Receives and distributes with proper documentation non-medical stock and other assets coming to or out of the store; prepares report about movement and condition of stock and fixed property to the Supply Chain Manager.

Maintain high-level warehouse and asset management standards through developing excellence practices in receiving, issuing, identifying, dispatching, recording and reporting stock items as well as organization’s assets.

DUTIES/TASKS

  • responsible for assisting the supply chain manager in the successful and timely flow of non-medical warehouse operations.

  • Ensure all organization’s assets are properly recorded and tagged as per Concern and donor’s asset management policy.

  • Coordinate with area office Finance and admin officers and Center Managers and get monthly/Quarterly/Biannual/annual stock/Fixed asset report, then review and   consolidate the report for management consumption and manage the routine disposal of assets as per Concern and ACSO guidelines.

  • When necessary, visit field offices and provide the required support including on job training for field storekeepers, Center Mangers and APOs teams,

  • Ensure store standards in all APOs and Centers are in line with Concern and donors requirement.

  • Ensure the efficient and compliant disposal of assets and work closely with all APOs, Centers and SO teams to manage the asset disposal process to completion.

  • Update ICM system for FAR- fixed asset register master list quarterly/Biannually and share to the management as per Concern’s and donor’s assets management policy and procedures.

  • Create good working environment within the Field teams and ensure team are motivated to perform their duty.

  • Ensure for the compliance of minimum donor standards like, separate stock records per donor and IGA business units.

  • Coordinate with the procurement team, plan and organize non-medical warehouse space for upcoming supplies as per PO/contract delivery schedule.

  • Establish reorder level for consumable stocks/ supplies like; clearing materials, stationeries, IT machine tonners and fast-moving spare parts and ensure supplies are restock before being stock out. 

  • Report immediately when discrepancies, theft or damaged inventors identified or suspected

  • Check store’s physical structure and report immediately when maintenance is required

  • Establish good checking system for arrived supplies involving relevant technical team

  • Ensure all store documents are properly used in all time 

  • responsible for working with the supply chain manager to ensure accurate and timely dispatch, receiving, and tracking of goods

  • maintain inventory control systems for essential products; always keep inventory current; notify inventory shortages on time

  • regularly identifies non-functional non-expendable assets at all MSIE offices and ensures that they are timely repaired, replaced and/or disposed following MSIE’s and government regulatory agencies rules and regulations

  • develops and maintains asset register for all non-expendable asset that includes model, serial number, asset code, location, custodian, status/condition etc. of each non-expendable asset

  • develops asset needs assessment, maintenance, replacement, and disposal plans and monitor the implementation of maintenance and replacement and disposal plans

  • plans and executes asset verification, investigation, and report on variances, make necessary recommendations to resolve discrepancies, and update the asset register

  • ensures that proper records are established for MSIE’s non-expendable assets at all office locations and that the assets are regularly checked for physical existence and condition/status

  • prepares a monthly reconciliation with supporting schedules of the asset registers to the relevant accounting records, and resolve uncleared items

  • reports on asset management information as required to internal and external stakeholders on time

  • establishes and executes a performance measurement system to evaluate the effective utilization of assets

  • participates and facilitates during physical inventory counts and spot checks

  • ensures that all non-expendable assets are insured against damage or loss immediately after the receiving process is completed

  • follow up all fixed asset register and keep files signed by users for property under their custody.

  • recording and tagging newly received of fixed asset and updating the record regularly.

  • proposes the use of efficient warehouse handling equipment and storage systems

  • assist in establishing standard specifications and codes for all major categories of goods purchased by MSIE offices.

  • takes responsibility for storage of non-medical items and equipment in accordance with MSIE Policy and procedure, national standards and ensures proper implementation.

  • puts to use proper stock control, utilization, timely ordering and restocking of non-medical supplies.

  • makes sure all non-medical materials are stored in appropriate places away from rain, dust, pilferage, and deterioration.

  • receives, issues and transfers office supplies and equipment referring to approved store documents  

  • prepares and submits stock reports as per the organization’s rules and regulations

  • regularly tracks and reports close to expire, obsolete and slow-moving stock items

  • provides data and participates in the preparation of procurement planning process

  • Ensure proper handover take place to coworker when you are away for leave or any reason.

  • Perform other duties as required by the nature of the position or as requested by Supervisor.

Job Requirements

Required Qualification:

            MA/BA Degree in Business Management, Procurement in supply chain                            Management, or Diploma in Procurement and Supplies Management

Experience

              4/6 years of related experience with warehouse and material management at             senior level or 8 years for Diploma
