About the Organization:

VisionFund Micro Finance Institution (S.C) is an Institution established according to proclamation No. 40/96 to provide financial services to the productive poor in the rural and urban areas of Ethiopia. VisionFund MFI is currently operating in four of the Regional States of the country. VisionFund MFI is looking for competent candidates for the position of Senior General Services Officer. The successful candidates will have skills and experience that meet the following requirements:

 1.   SPECIFIC DUTIES AND RESPONSIBILITIES

·        Produce medium & long-term plan for all general service activities in the organization and, upon approval, implement them into actions.

·        Support in the development of general services regulations and guidelines.

·        Supports in revision and development of fleet management policy when required.

·        Ensure efficient vehicle fleet management system are employed

·        Receive vehicle requests and assign drivers/vehicles in an equitable manner

·        Follow-up & ensure vehicles, motorcycles & generators management practice compliance with company policies and procedures, used for the intended business purpose, manage drivers’ behavior, and ensure users accountability for policy violation;

·        Ensure safeguard of all vehicles and motorbikes to have appropriate insurance coverage against accidents including 3rd party insurance, record & report accident claims for insurance company, manage the claims issues and follow up the claims until settlements;

·        Ensure that the organization’s vehicles/motorcycles are inspected & have an appropriate plate number and ownership title book.

·        Effectively manage & control all service contract providers and vendors including garages, travel agency, equipment/furniture maintenance companies, etc for performance & competitiveness in the market so as to obtain the best value for money;

·        Supervises and follows up the timely repair of office equipment, furniture, water and electric systems and renovation of buildings & prepare cost estimates for renovation & maintenance; monitor and submit justifications for expenditure.

·        Takes a leading role in office renovation & construction. Planning best allocation and utilization of space and resources for new buildings, or re-organizing current premises; and common areas including parking.

·        Conducts regular visits to branch offices to assess the condition of assets including  generators, motorcycles and office equipment’s & recommend any disposal/maintenance/renovation needs;

·        Supervises and evaluates the duties of mechanics, cleaners, drivers, receptionist, motorist & mechanics.

·        Acting as liaison officer by representing the company to various offices related to fleet management & general service activities,

·        Ensure adequate records of fleet management/movement, history file & full data and put in place policies/structures to guard against abuse;

·        Work closely with Finance team to ensure annual fixed asset report is prepared, updated & reconciled on regular inventory count including overseeing the disposal properties;

·        Manage the disposal & ownership transfer activities for obsolete & nonfunctional office furniture’s, IT equipment’s motorcycles/vehicles & generators;

·        Coordinate support team /drivers/technicians/mechanics/ across the institution;

·        Prepare monthly report

·        Performs other duties assigned as deemed necessary

Job Requirements

 2.  MINIMUM QUALIFICATIONS

A.     EDUCATION/TRAINING

*     BA Degree in Procurement & Supplies Management, Management, Business Administration or related

B.     EXPERIENCE:

*     5 years of relevant experience.

C.     TECHNICAL AND OTHER SKILLS

*     Integrated knowledge and understanding of support services concepts, practices, systems, and procedures;

*     Ability to interact and deal with people;

*     Planning, organizational, analytical and decision making skills;

*     Basic computer skills;

*     Good written and oral communication skills.

D.     WORKING CONDITIONS AND LEVEL OF TRAVEL REQUIRED

*      Office environment. Travel some travel may be required.

*     Good command of written & oral English skill is advantageous.
