Job Description

The In-Service Training (IST) Coordinator will be responsible for planning, coordinating, and overseeing of ICAP Strategic Information (SI) Project related trainings and capacity building activities in the area of health information system (HIS), Electronic Medical Records (EMR), HIV Case Surveillance (CS), data quality improvement (DQI), data analysis and use, Electronic Test Ordering and Result Reporting system (ETORRs), Surveillance data management, Growing E-health Expertise Knowledge and Skills (GEEKS) and Laboratory Information System (LIS) among others. She/he will participate in the development of training materials, standard operating procedures (SOPs), and guidelines and will be in charge of compiling training related information and produce periodic reports

Duty Station: Addis Ababa with frequent travel to regions

Major Duties and Responsibilities

  • Coordinate various capacity building trainings of the ICAP SI project including but not limited to EMR, HIV CS, DQI and data use, ETORRs, GEEKs

  • Responsible for dispatch and confirmation of and related training correspondences e-mail, fax and hand delivery

  • Undertake  maintaining communication with staffs and implementing partners on SI related trainings

  • Assist in the development, revise and produce SI related training documents (Materials, tools, and checklists)

  • Work with the Regional directors and staff, MoH, RHBs and other developmental partners in identification of contact of trainees and trainers

  • Responsible for collection of all Training related information, checking for completeness and proper recording of same in ICAP database and record files

  • Ensure proper implementation of SI project related trainings

  • Maintain and update SI project related training database for all ICAP-sponsored trainings, workshops and meetings periodical check-up for data harmonization in the database

  • Archive all information related to training such as training sites, duration, place etc both in hard and soft copy, trainers and trainees evaluation result and training report.

  • Regularly communicate the SI related training data to ICAP regional office, RHBs, and partners as deemed necessary for update and support them how to use the information for decision making.

  • invitation letters and communicate with all relevant including MoH, EPHI, RHBs, ZHDs, Health facilities, ICAP regional offices and others as appropriate.

  • Develop and maintain SI related training files including correspondence with staffs, conference organizers, regional offices and partners, keep records of training forms chronologically

  • Follow up on the preparation, signature and distribution of certificate on SI related training as per the SOP

  • Develop quarterly SI related training schedule and compile and prepare narrative report of trainings

  • Perform other duties assigned by immediate supervisor

Job Requirements

  • Masters Degree in the field of Public Health, Education, International Development or related field with relevant work experience

  • Experience and/or exposure to SI/HIS

  • Proficiency in IST provision, management and follow up

  • Minimum 5 years of experience and demonstrated expertise in organizing and coordination of IST

  • Demonstrated talent in writing technical content and training materials in general and experience in the development of training materials for HIS

  • Demonstrated proficiency in the techniques of system design, project management, and monitoring

  • Excellent verbal and written communications skills in English and Amharic

  • Experience of working with multiple tasks and meeting short deadlines as well as coordination with multiple partners to achieve program results
