Medical Team International looking for qualified applicant for the following position:
JOB SUMMARY
The post holder will be tasked with facilitating and coordinating smooth operations which include receiving, storing dispatching and reporting of all goods and supplies that pass through the Semera warehouse system. The post holder will also be responsible for ensuring proper stock keeping records, effective use of space available, and coordination with various departments including programs and procurement on storage needs.
Ensuring proper safety, security and handling of MTI owned and leased fleet to the best interest of the organization and manage MTI vehicle fleet in accordance to the operational needs and in compliance with the required standard procedures. The post holder will also be responsible for compiling all Afar based vehicles performance reports, preparation in line with MTI Fleet Management Manual and policy documents.
JOB RESPONSIBITIES
Establish detailed mapping of available storage facilities and maintain up-to-date stock records for each area/facility. This includes bin cards, stock cards, spread sheets, and clearly labelled goods
Maintain proper stock of frequently used supplies through establishing a reorder level consistent with monthly usage
Liaise with the Logistics Officer and Program team to ensure all stored materials earmarked for a specific location are made ready for onward transport, MTI vehicles, or hired trucks to maximize storage space.
Safeguarding commodities from any type of damages. To this effect, the Logistics Assistant must ensure that:
Storage is safe and clean, and protects commodities from damage and loss
Expiry dates of perishable commodities are regularly followed
Goods are kept according to their homogeneity, and all materials must be kept visibly separate.
Make sure Storage temperature and humidity is monitored and recorded.
Make sure Cold Chain temperature-controlled medicines and kept properly and their temperature is monitored and register on the log sheet.
Establish procedures for depositing and withdrawing goods from stores and conduct regular inventory checks.
Prepare and submit Weekly, Monthly, and Quarterly Stock Reports to the line manager as needed
Ensure warehouses are clean and goods are well always organized according to their type and homogeneity.
Ensure the effective and efficient use of all Medical Teams resources in order to keep costs low and ensure safety in the workplace.
Ensure that all incoming assets are registered in the asset database before issuing them to the requesters and field offices.
Mange movement planning comes from user’s department.
Make sure all movement must be filled in on Trip request form and approved by line manager.
All vehicles owned/leased must use Log sheet and signed by lead passenger.
Management, control, and accountability of all fuel supplies and provide fuel management support including contingency planning and storage if deemed appropriate
Ensure that all MTI fleet asset and driver administration is executed in a professional manner and in accordance with standard procedures and legal obligations as per the traffic law in Ethiopia
Ensure fleet inventory, vehicle and driver data files, registration, annual inspection and documentation fleet assets are comprehensively documented.
Ensure that ALL accidents and incidents are reported correctly and documented to help country team for insurance claim.
Ensure that fleet assets are serviced, maintained, and cleaned according to standard maintenance guidelines and schedules.
Submit monthly fleet performance report to Logistics officer.
Perform other related tasks as required.
Place of Work: Afar-Semera
Required Number: One /1
Work Days & Hours: Monday-Friday, 40-48 hours/week, occasional weekends and public holidays
PHYSICAL CONDITIONS
This position requires frequent travel to health facilities located in remote areas with very basic living conditions.
EDUCATION, LICENSES, & CERTFICATION
Diploma in Procurement & Logistics, Supply Chain Management, Business Administration, Public Administration, or related field is required.
Professional certification preferred.
EXPERIENCE
Minimum 3 years of logistics experience. Preferable on Medical Logistic.
Experience with Medical supply chain, pharmacy and fleet management specific procedures is an added advantage.
KNOWLEDGE
Knowledge of supply chain management including clearance, transport, warehousing, distribution, fleet management and asset management.
SKILLS
Fairly skilled at using ERP systems to manage inventory logistics
Good interpersonal, influencing and negotiation skills
Skilled in communication
Good computer skills including word processing, spreadsheets, and databases
A good command of both written and spoken English and Amharic
ABILITIES
Ability to act with integrity and ensure security and appropriate use of assets
Ability to complete complex tasks with a high degree of autonomy and responsibility
Highly organized with good quantitative ability
Ability to maintain detailed records with high accuracy
Ability to support MTI Calling and adhere to the MTI Code of Conduct
