Job Title: LMIS Assistant

Job Summary:
You will support to maintain commodity movement records to ensure risk mitigation in inventory management through established inventory accounting and reporting processes in support of high-quality programs serving the poor and vulnerable. Your knowledge and experience will allow you to ensure compliance with CRS and donor regulations, and international and local supply chain accountability standards and requirements, as you apply the principles of stewardship, integrity, transparency, and accountability.
Job Responsibilities:
checking and verifying all commodity transaction documents and puts in soft copy categorizing the receipts by operation, Waybill, and other reference details in a manner to identify the status of the food for the handling and eventual release to beneficiaries based on FEFO, FIFO, and BUBD. The process and follow up requires utmost carefulness, responsibility in terms of accuracy and timing.
Organize and prepare interim and periodic commodity reports according to the CRS standard reporting procedure which includes, CSR, Stock position weekly, allocation release, inventory count results etc.
As needed observes and acknowledges commodities reconditioning and reconstituting process activities and witnessed in terms of quality and weight.
Fully participates in monthly commodity inventory counting and prepares and organizes reports.
Analyze allocations by checking and comparing with the beneficiaries’ ration size and forward the amount and types of commodity based on the FEFO, FIFO and BUBD to the dispatching clerks and follow up whether it is being released accordingly.
Collect daily dispatches and receipts copies from respective warehouse keepers to check that is being dispatched or received in accordance with the necessary reference such as operation, waybills, partners etc. and report mistakes for possible timely correction.
Organizes allocations based on commodity type and operations
Work with respective transport organization arranged by partners by carefully checking properly signed freight orders.
keep the ledgers and stock cards centrally with due care for standard reconciliation reference purpose to ensure proper internal control procedure.
Collect all daily receipts and dispatches copies from respective warehouse and clerks on daily base
Collecting and recording LAR document from warehouse if in case of loss or excess occurred during receiving.
Posting each receiving and dispatching documents daily base on stock card and ledger commodity
Prepare Loss and Misused Commodity Report
Prepare daily receipt summary Report
Closely support warehouse keepers and dispatchers about the correctness of each document
Recording each commodity transaction on a computer daily
Work with partners, WV,CARE and transport companies during dispatching
Typical Background, Experience & Requirements:
Completion of BA/BSC degree or College Diploma in Social Science fields, preferably in Logistics and Supply Chain Management
Minimum of 2 years work experience in a similar position for BA/BSC or 6 years for college diploma, preferably in an international organization.
Additional education may substitute for some experience.
Good knowledge /understanding of commodity management practice
Good knowledge and experience in records management
Commitment to team efforts and able to work in a multi-deadline environment
Skills and experience in working effectiveness with partners and stokeholds (government and Non-government institutions)
Basic knowledge of report writing and ability to communicate clearly
Ability to organize record, code and file resource materials, correspondence etc.
Computer literate in Soft Ware applications specifically MS-EXCEL
Personal Skills
Very good analytical skills with ability to detect and report inconsistencies
Conscientious, accurate and thorough with great attention to detail
Ethical conduct in accordance with recognized professional and organizational codes of ethics
Proactive, resourceful, solutions-oriented and results-oriented
Required/Desired Foreign Language: Tigrigna, English
