Job Description

Receptionist

Maintain an attractive, pleasant, and neat front desk area.

Receive and assist guests to the office courteously, answering queries and providing information while being as prudent as possible.

Asist visitors to leave messages where the employee desired is not around and ensures that the messages are received.

To organize the notice boards at the reception area regularly displaying relevant and useful information for the attention of members of staff and visitors.

Arrange for refreshment items in cases of meetings, training, workshops held in the company.

Secretarial

Perform any secretarial duties, like typing, filing, keeping diary of appointments, meetings, handling telephone communications, etc.

Record and receive all job applications; follow up the final date and forward the documents to the HR officer and communicate candidates for interviews.

Process, acquire and renew Visa and Residence Permit, temporary ID of the foreign employees or return Licenses and process Supporting Letters.

Make travel arrangements, booking of flights and hotel accommodation.

Ensuring canteen services are monitored regular and that the services meets staff standard.

Support Administrative staff in purchasing of office consumables and miscellaneous items

Oversee office facilities including hygiene monitoring, security, office attendance etc.

Prepare support letter when requested.

Circulate key message to the staff when requested.

Follow and supervise cleaners 

Responsible for all secretarial activities

Job Requirements

Diploma/BA in Secretarial Science, Management or related field.

Minimum of 1 years of related work experience for BA and 2 yrs. experience for Diploma holder.

Excellent verbal and written communication skills.
