Currently IOM is looking to recruit a qualified candidate to fill the position of Database Management Assistant for Durable Solution project activities. The Database Management Assistant provides database management and record keeping support, quality control, documentation and will be responsible for maintaining, supporting and introducing data into a computer. S/he is also responsible for providing updates to the supervisor and for preparing monthly and annual reports regarding the various data related activities.
The person will be part of a dynamic team in an ever changing and diverse environment. S/he needs to be solution orientated, hands-on and a good motivator and communicator with people.
Core Functions / Responsibilities:
• Develop, implement and administer database systems to gather and process information required for Durable Solution Intention Survey (return, relocation and integration) activity implementations
• Identify, develop, compile and promote high-quality data collection resources and tools across Durable Solution thematic areas
• Assist in designing data collection tools and/or data entry tools using Kobo software and/or other platforms
• Prepare analytical outputs for reports on intention survey, needs assessments and program activities using the program’s databases
• Ensure data consistency and provide statistical information extracted from intention survey database in tabular and chart format
• Support the division team in ensuring the dissemination and adaption as necessary of information management tools that meet government, partners’ and other humanitarian and development actors’ needs
• Assist in producing all the required reports and information products on intention survey, including, but not limited to, the analytical and statistical reports, displacement profiles and other relevant products
• Make sure data collected through intention survey, IDP registration and ad hoc surveys are entered to a proper database and ensure the quality of data entered (ensure data integrity and availability)
• Prepare summary tables, graphs and reports for intention survey, village assessments, IDP profiles and program activities using the program’s database and make accessible for quarterly release workshop
• Check databases for changes and errors and make corrections, as needed. Changes and errors might include numbers, key-entry or format errors, spelling or grammar mistakes and duplicate entries
• Work closely with IT unit to develop and implement database backup, restore, data validation, and security procedures to ensure data integrity and availability
• Supervise and train data collectors and data entry clerks to ensure the quality of data entered into database
• Provide user support and guidelines on the deployment, use and operation of databases to program staffs
• Make cross-reference for database against paper records or contact relevant person or office who can verify the accuracy of specific data. S/he is also responsible for alerting project staffs and making process recommendations to prevent errors in the data base
• support in preparation of promotional materials such as brochures and briefs
• Undertake duty travel as necessary to facilitate data collection survey and assessment
• Perform such other duties as may be assigned
Education:
University degree in Social Sciences, preferably IT, Sociology, Demography and related fields from an accredited academic institution;
Minimum 5 years of relevant experience in the emergencies and humanitarian assistance sector with focus on data management and analysis;
Some experience in electronic device configuration, web design, email, software and database management or similar fields;
Experience:
Minimum of at least five years relevant work experience in analysis of data from large and complex information systems and household survey data;
Experience in the development and implementation of database management systems;
Proven experience in survey and questionnaire design and probabilistic sampling;
Research experience in the field of population studies and IDPs in the country, including field experience in survey coordination and implementation;
Practical field experience related to interventions and humanitarian support to displaced populations and implementation of emergency and early recovery activities.
Proven experience in working and liaising with government officials and local communities
Excellent knowledge in MS word, Excel, SPSS and database management
Experience in Interviewing
Languages
Thorough knowledge of spoken and written English and Amharic.
Knowledge of other local languages
