1.     Role and responsibilities

The purpose of the HR & Administration Assistant position is to assist in the day-to-day implementation of the finance functions responsibilities. The following is a brief description of the role:

Generic responsibilities

  1. Adhere to NRC policies, tools, handbooks and guidelines
  2. with the implementation of the support function portfolio according to plan of action
  3. Prepare and develop status reports as required by management
  4. Ensure proper filing of documents according to NRC policy
  5. Ensure effective and efficient utilization of resources
  6. Promote and share ideas for improvement of the support function

Specific responsibilities

  • Assist with preparations of agreements for incentive staff, casual workers and temporay staff

·      Prepare Payroll for incentive and casual workers on monthly basis

  • Update contact lists for staff at field office on monthly basis

·      Facilitate the reception & dispatch of documents from field office to AO/CO, partners, UN/NGOs, and authorities

·      Arrange for transport and accommodation arrangements for visitors and staff, from booking to billing (air ticket booking, accommodation booking and payment, or guesthouse)

·      Ensure that NRC premises are kept clean and organised at all times and report immediately of any defects, or areas that need attention, including kitchen and bathroom facilities, and support the cleaners to ensure they undertake their responsibility timely and properly

  • Ensure that technical maintenance is carried out in a timely manner to all NRC premises (electricity, plumbing, solid waste removal, repairs and upgrades of buildings)
  • Facilitate payment of electricity/water/communications bills on a monthly basis
  • Maintain a stock of consumables (stationaries, kitchen and cleaning supplies) and issue to staff and cleaners according to the needs and procedures in place
  • Initiates purchases of office stationery, kitchen supplies, office furniture, and maintenance
  • Submit monthly reports for the consumption of consumables at the field office
  • Manage keys of all premises and keep updated key holders’ forms
  • Support the setup and preparation of meetings rooms 

Job Requirements

Generic professional competencies:

  • Minimum 2 years’ experience from working with HR and administration as an Assistant or Officer in a humanitarian/recovery context
  • Previous experience from working in complex and volatile contexts

·      BA or Diploma in Human Resources/Business Administration

  • Documented results related to the position’s responsibilities
  • Knowledge about own skills/profile
  • Knowledge of English, both written and verbal

Context/ Specific skills, knowledge and experience:

  • Good knowledge of the area and context in Benishangul Gumuz Region
  • Goal oriented with ability to work under pressure and with limited supervision
  • Good cultural awareness and sensitivity
  • Highly approachable, trustworthy and confidential
