Job Description

Role and responsibilities

The purpose of the Field Office Coordinator is to run the day to day support functions at a field office.

The following is a brief description of the role.

Generic responsibilities

  • Manage support staff at field office level
  • Manage day to day Admin, HR, finance, logistics and security tasks of the field office
  • Ensure adherence to NRC policies, handbooks, procedures and SOPs/guidelines
  • Ensure adherence to Security and Risk Management policy and procedures
  • Coordinate and assist with budgets and costs for the field office’s shared costs and support functions
  • Provide support in the training and development of staff
  • Provide support to project implementation at field office level
  • Coordinate representation meetings with the UN, partners and authorities
  • Promote the rights of IDPs/returnees in line with the advocacy strategy

Specific responsibilities

  • Organize weekly meetings with the support team at field office
  • Responsible for the improvement and consolidation of the support functions at field office
  • Provide input for improvements/updates of existing policies and recommendations for new guidelines and SOPs
  • Ensure NRC systems and software for support functions is properly used by all relevant staff
  • Monitor local news and translate appropriate security related information in updates to the Staff Safety and Liaison Officer and AM, and inform about issues that may have an effect on NRC security in the region and advise on precautionary measures
  • Produce written reports on the security situation in the field office based on the current information available from other agencies, NRC sub offices, media and other sources as required
  • Ensure incident reporting is conducted as necessary in coordination with the Staff Safety and Liaison Officer
  • Briefings/orientation of staff: Ensure orientation/induction of new staff/visiting staff is completed on first day of arrival to Metekel
  • Participate and contribute to program meetings and provide up-to-date analysis of achievement and status updates in relation to the projects implemented in the field
  • Ensure Logistics, Finance and Administration input is provided during Project Cycle Management (PCM) processes, including at project development stage
  • Ensure that key program staff at field office are trained on support functions policies and procedures
  • Support to programme and finance teams to prepare for audits.
  • Ensure supporting documentation is secured both online and in hard copy according to the SSD policy
  • Provide monthly and ad hoc reports on the support functions to the Support Coordinator, Finance Coordinator and Area Manager

Job Requirements

Generic professional competencies:

  • Minimum of 5 years’ experience from working as a Field or Support Coordinator in a humanitarian/recovery context
  • Previous experience from working in support functions in complex and volatile contexts
  • Minimum of 2 years Support Management experience in NGO/humanitarian work environment
  • BA in supply chain management, business administration or related
  • Documented results related to the position’s responsibilities
  • Knowledge about own leadership skills/profile
  • Fluency in English, both written and verbal

 Context/ Specific skills, knowledge and experience:

  • Good knowledge of the area and context in Benishangul Gumuz Region
  • Very good communication, negotiation and presentation skills
  • Good cultural awareness and sensitivity
  • Knowledge of local languages is an added advantage
  • Experience with start-up, exit or similar
  • Experience with capacity building of staff and training
  • Report writing and computer skills
  • Proven skills in designing and implementing trainings and development plans for teams
