We’re a well-established communications agency with an impressive reputation in need of a proactive Office Manager to manage the hub of our information flow.

We’re a small but growing company, so we all wear multiple hats and are engaged in the big picture to deliver the perfect journey and amazing projects for our clients. Though this position is a supportive role, it is integral to the success of our company. The ideal candidate has some familiarity or at least interest in the Communications industry, and a willingness to learn more.

You’ll be managing almost all of our information flow in this position, as well as keeping people connected and projects moving forward. 

Your main responsibilities will include: 

  • Office management: Design and maintain filing systems, document and optimize operational procedures, order supplies and equipment, maintain historical records, IT support interfacing, general maintenance, report office progress to senior management and work with them to improve office operations and procedures.
  • Employee management: overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards 
  • Oversee correspondence and reception: Greet and support visitors, answer phones, answer and respond to email 
  • Coordinating domestic and international travel, including flight, hotel, and car rental reservations.
  • Producing reports, composing correspondence, and drafting new contracts.
  • Basic Accounting preparation: Account coding of invoices and receipts 
  • Project support: Coordinating appointments and meetings and managing staff calendars and schedules, account side document management, permits, plan files, project closeout 
  • Client services: Printing plans, client orientation with software, coordinate client meetings 
  • New employee onboarding assistance: Interviewing and training new office employees and organizing their employment paperwork, 
  • Creating presentations and other management-level reports.

Job Requirements

To be a successful hire, you will need to have prior experience in office administration. You will also need to be proficient in Microsoft Office and Google Suite applications . A bachelor's degree is required. Other highly desirable qualities we’re looking for in this position include: 

  • A bachelor degree or equivalent.
  • Five years of experience in office administration
  • Office management experience.
  • Computer literacy (Google Suite, Peachtree, Adobe, Calendars, MS Office) 
  • Familiarity with and ability to troubleshoot basic office equipment (Printers, copiers, scanners, phone systems) 
  • Excellent written and verbal communication skills 
  • Strong organizational and planning skills, attention to detail 
  • Ability to take initiative, self-start, multitask, and prioritize tasks 
  • Capable of mastering the basic functions of Asana software (with appropriate training) 
  • Comfortable with a fast-paced work environment 
  • Ability to maintain a professional appearance and demeanor
