Job Description

Purpose of the Position 

The main purpose of the job is The job-holder is responsible for effective management of the FCDO project grant.

This position is responsible for ensuring that WAE fulfils its grant requirements and compliance, including developing high quality and timely grant reports which demonstrate WaterAid’s added value to the donors. The post requires frequent interaction with other staff members, particularly Head of WASH, Directors, Project coordinator, Finance, and WaterAid teams outside of Ethiopia.

Job Description

  • Ensure compliance with donor contractual terms and conditions and other standard procedures, working with colleagues in the Country Programme, region and UK as necessary.
  • Be the main point of contact for the project and manage the relationship with the UKAM Fund Manager (representing the main donor FCDO) and Account Managers in WaterAid UK (representing other donors supporting the project).
  • Coordinate, edit and quality assure quarterly and annual donor reports (for FCDO and other donors contributing to the project), including narrative and finance components. Respond to donor feedback.
  • Travel regularly to the project region and conduct monitoring and oversight of the project.
  • Participate in regular meetings of WaterAid project stakeholders from the Country Programme, region and UK.
  • Participate in regular grant holder meetings and webinars hosted by the UKAM Fund Manager.
  • Report key project data to International Aid Transparency Initiative (IATI) on a quarterly basis.
  • Support annual donor audits of the project.
  • Lead on the organisation of occasional donor monitoring visits, either physical or virtual.
  • Keep key project documents up to date, including: log frame, risk register, asset inventory, workplan, delivery chain risk map.
  • Support the Project Manager to identify and manage significant risks affecting the project, keeping the SMT and donors up to date.
  • Ensure all donor income is accurately incorporated into WAE’s internal planning process, and plans are in line with donor requirements and WaterAid policy and practice.
  • Work with Technical, and Finance colleagues to identify unfunded work within the project’s plans and prepare these projects for proactive fundraising efforts.
  • Assist Finance colleagues with any requested grant income information for projects annual audit.

Safeguarding & Safety & Security:

  • Understands and puts into practice the responsibilities under Safeguarding, Child Protection and Gender policies and Code of Conduct (CoC)
  • Adheres to any local security protocols that have been put in place when working in the office, travelling to the field or undertaking project / programme activities
  • Immediately reports any health, safety and security incidents or near-misses that occur on WaterAid duty to their line manager, Security Focal Point or CD
  • Behaves and acts in a manner that does not put colleagues or anyone that interacts with WaterAid in immediate danger or harm’s way.

Other:

  • Undertake any other activities as requested by the Head of WASH and WaterAid Ethiopia;

Internal: Technical service director, Project Coordinator, and Officers and any other staff and consultants that may be hired in WAE for work related to this role.

External: WAE Partners, East Africa Regional team, UK office, Government Officials – Local sector organizations, Civil Society Organizations, and other I/NNGO’s

Job Requirements

Education and year of experience:

  • Master's or Bachelor's degree in social sciences or related development fields
  • Minimum of 4 years of proven and progressive work experience in in grant and donor compliance management, preferably in NGO
  • Strong written and verbal communication skills, in English, is essential. Including the ability to write clear and concise analytical reports on complex subjects.
  • Experience of managing high value restricted funding contracts. Experience of UK Aid Match specifically is an advantage.
  • Experience of managing relationships with high profile institutional donors such as DFID / FCDO, USAID, EU, UN agencies etc.
  • Ability to represent WaterAid externally.
  • Experience of stakeholder management
  • Familiarity with FCDO / DFID contractual terms and conditions, and policies and procedures.
  • Familiarity with programme management documents, including logframes, risk registers and complex budgets.
  • Ability to build and maintain relationships and work collaboratively, across teams and departments, to get results.
