Job Description

The purpose of the HR - Intern position is to provide a wide variety of support to the Human Resources (HR) function. S/he is required to keep complete, comprehensive and up-to-date records of personnel matters of CARE Ethiopia Country Office staff. The Intern supports the daily HR and administrative operations of the human resource department and interacts with employees, management and other business associates (e.g.; insurance companies and banks).

 Responsibilities

 Job Responsibility # 1: Filing and Documentation of Personnel Records (30%)

  • Organizes, compiles and updates personnel records and documentation.
  • Maintains scanned copies of HR records and correspondences in designated files (electronic or hard copy).
  • Establishes new personnel files and records data of all newly recruited personnel.
  • Provides personnel files for reference to authorized personnel.
  • Manages removal of inactive HR files
  • Assists in preparation of recruitment status report and other HR ad hoc reports.

 Job Responsibility # 2: HR Administrative Services (60%)

  • Maintains a schedule and coordinates calendar activities for the HR unit.
  • Handles vacancy announcement files, lists out applicants and arranges interview schedules on behalf of the HR officers or recruitment officer.
  • Assists HR team in drafting/typing personnel action or memos.
  • Schedules meetings and HR related events as requested.
  • Registers and dispatches outgoing mail and other items.
  • Prepares and issues employee ID cards after they are signed.
  • Assists HR Team in organizing and managing new employee orientation, on-boarding, and training programs.
  • Distributes, in mass, a variety of informational materials to employees.
  • Regularly updates staff telephone directories and disseminates accordingly.
  • Distributes HR Office mail.
  • Orders and maintains office stationery stocks in accordance with section requirements, manages and maintains office cabinets/filing system.
  • Updates and maintains HR notice board and publishes HR Office Notices at all common notice board locations.
  • Supports unit to ensure all Addis based staff submitted PARs (Personal activity Report) to HR on a monthly basis.

 Job Responsibility # 3: Others (10%)

  • Manages the communication with banks for staff loans.
  • Ensures daily attendance sheets are timely and accurately completed.
  • Performs other duties as assigned by immediate supervisor.

Job Requirements

  • Bachelor's Degree in Management, Business Administration, Human Resources Management
  • 0- 1 year of related experience.
  • Good communication skills in written and spoken English
  • Strong organizational skills and ability to act in a professional and ethical manner
  • Good skills in computer applications
