Under the general supervision of the Programme Support (PSU) Unit Senior Programme Coordinator, and the direct supervision of the Programme Support Officer, the Programme Support Assistant will contribute to programme/project implementation and the effective management of projects in PRIMA based on IOM rules and guidelines and provide support to accurate and timely reporting. In particular, he/she will be responsible for the following:
Responsibilities and Accountabilities:
- Retrieve, compile, summarize, analyze, and present information/data on specific project-related topics to be used to identify potential programme/project activities.
- Provide general support in the development of new project proposals in close coordination with relevant colleagues/units in the Mission and the IOM RO, and HQs if needed, and other key stakeholders for fund mobilization.
- Draft a wide variety of reports, documents, presentations, correspondence, and communications
- Provide technical guidance and follow up with project managers on project reporting and intervene, whenever needed, and ensure donor reports are submitted in line with endorsed project proposals in PRIMA.
- Submit interim and final financial reports through the GMS portal
- Support the submission of IDF projects of the Migration Management Unit (MMU).
- Assist in project administration as required, for example compiling data on projects per Programme Managers’ requests.
- Prepare and review support documentation to enable the submission of payment requests to donors.
- Participate in relevant meetings, provide administrative support, including managing team meeting invitations and room bookings etc.
- Work closely with project development colleagues to support the Unit’s Resource Mobilization efforts such as preparation of presentations, briefing packages and reports to donors, humanitarian partners and government on potential engagement areas.
- Perform such other duties as may be assigned by the supervisor.
Job Requirements
Education:
- Bachelor’s degree in Development, Political or Social Sciences, Project Management, Business Administration, International Relations, and/or related fields from an accredited academic institution.
Experience:
- A minimum of five year’s professional experience in project/business development Monitoring and evaluation, reporting, and documentation in humanitarian settings.
- Excellent communications and report drafting skills.
- Strong analytical and planning skills.
- Knowledge of major donors’ rules, regulations, and reporting requirements.
- Knowledge of the humanitarian situation in the country and familiarity with governments' policies and priorities.
- Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds.
- Ability to work well under pressure and with tight deadlines.
- Ability to use Microsoft Excel, Outlook and Word, database, statistical software.
Languages
- Thorough knowledge of Amharic and English languages
- Knowledge of other local languages is advantageous
