Job Description

The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises and helps people to survive and rebuild their lives. Founded in 1933, the IRC offers lifesaving care and life-changing assistance to refugees made to flee from war or disaster.

The IRC has been working in Ethiopia since 2000, currently working in six regions in providing relief services to refugees, victims of drought, and war affected populations. IRC Hawassa FO is one of the field offices working in SNNPR since 2005.

Summary Statement of Responsibilities

SCA-Warehouse reporting to Supply Chain Manager, the Supply Chain Assistant-Warehouse is responsible for ensuring the overall supply chain activities on warehouse management and asset management in Hawassa. The supply chain Assistant-Warehouse must be proactive on delivering the vital tasks as the need arises and will have the following responsibilities.

Responsibilities:

  • Ensuring the accuracy of materials is accurately inspected and received in reconciliation to the specifications originally stated on the PR/purchase request.
  • Materials are arranged and shipped cost optimally.
  •  Ensuring that all vital information which has available on waybill during receiving the material from Addis if not immediately connect with Addis warehouse team.
  • During any materials shipment to site or satellite offices warehouse using way bill is mandatory and all information must be recorded on waybill clearly.
  • Daily received materials are inspected for its accuracy, defect, freeness and suitability and WB/GRN is fulfilled with vital information and during materials arrival at warehouse with communication of the focal person of the requester inspection document is completed and filled accordingly.
  • Inform to the respective staff up on arrival of their respective goods.
  • All daily received goods are registered in to prolog data, stock card, warehouse registration book and bin card generated or updated immediately(with in one day)
  • Materials returned from program are inspected, received and entered in to record.
  • Delivery note is done and submitted to procurement staff with in half day after the material inspection completed and all the vital document and the required quantity is fulfilled.
  • Materials are carefully counted during loaded and unloaded time.
  • Ensure the materials (asset in warehouse and warehouse inventory) are accurately shelved, shelf life is well trucked and all items in the WH are also very neat.
  • Ensure that effective release of materials from the ware house is done and warehouse materials documents are accurately managed on daily base.
  • All Warehouse materials document are maintained accurately according to IRC filing protocol.
  • Closely follow and communicate Addis warehouse / IT team if any equipment damaged materials are disposed as per IRC disposal procedure and connect with them and insure the completed disposal certificate sent by Addis SC team and file it according to IRC filing protocol.
  • Clearly and concisely support is given as requested for filed site warehouse team throughout the review period.
  • The Warehouse activity book (warehouse register book) recording all outgoing and incoming receipts of materials on daily bases and full information’s are recorded on it (delivery, way bill, store release, date, description, vehicle plate number etc.).
  • Keep individual asset allocation to file for staff using (responsible) the asset and registered all the information on asset registration book.
  • Asset are entered into asset inventory spreadsheet and truck the status accordingly.
  • Supervise & report unserviceable asset for maintenance to supply chain head throughout the review period.
  • All asset documents are maintained, supervised and updating the current status accurately and timely manner.
  • Monthly all warehouse reports were collected from satellite office by reminding them, checked and summarized and submitted to supply chain Manager.
  • Ensuring the warehouse compound doors, windows, fences are safe and secure to the warehouse management system, insure and give any update to supply chain manager.

Job Requirements

  • Bachelor's Degree or Diploma in supply Chain management, Management, Economics, business administration or related fields 6 years’ experience Diploma & 4 year experience for Degree
  • Very good knowledge and experience in Microsoft Word and Excel software application
  • Must have good command of both spoken and written English and Amharic
  • NGO Experiences plus
