Job Description

Job Purpose; 

Under the supervision of the Admin officer to ensure that, the HO compound, expat’s residences and guesthouses utility services well-functioning & payments are settled on time. Be a focal point to take all the maintenance & repair requests from every department & programme in Addis Ababa office (including expatriates guesthouses and residents), regularly check the need for maintenance work and make sure that everything are dealt with in timely manner. Assist the Admin officer in the process of getting resident and work permits. 

Main Duties and Responsibilities; 

  • Ensuring that the staff as well as guests/visitors are provided with good administrative services;
  • Regularly assess and identify buildings and other facilities within the premises that require maintenance & renovation works; follow up that maintenance requests are appropriately considered and made on time;
  • Assist in the preparation of lease contracts for different offices in Concern Worldwide;
  • Prepare and submit monthly reports on accomplished and outstanding repair work to your line manager;
  • Ensure that office utilities such as telephone, water, and electric are working well and settle bills on time to the respective offices;
  • Submit requests for material provision of the guest house and ensure that it is used according to the targeted plan;
  • Assist the Admin officer in the processing getting different permits with ARRA, ACSO, immigration office and other concerned government offices.
  • Inspect Concern compound, building and fixtures as necessary and report damages of any detected. 
  • Prepare Supplier Requests (SR) and Payment Requests for different Admin related activities;
  • Handle documents and maintain a regular filing system;
  • Provide support in hotel and flight booking as required;
  • Serving as a member in procurement committee as needed;
  • Be aware of, understand and comply with all of Concern’s policies and procedures (Code of Conduct, P4 and associated policies, finance, logistics, HR, security management etc).
  • Undertake other related duties as may reasonably be assigned to you by the supervisor or department manager.

Job Requirements

Persons Specification;

Essential

  • College Diploma in Public Administration or Secretarial Science and Office management or 10+3 technical graduate or other related field of study with minimum 2 years’ experience in Office Administrative activities.
  • Computer Literate in Microsoft Word and Excel
  • Good communication skill in both Amharic and English language
  • Initiative and be able to work with minimal supervision.
